We’re currently coming off the back of Cyclone Alfred, and we need someone who can multitask efficiently, stay organized under pressure, and bring clarity to fast-moving situations. If you’re someone who works with accuracy, speed, and professionalism, this role could be for you.

About the Role

This is a casual position with the potential to become a full-time role for the right candidate. We need a highly organised, proactive, and customer-focused Administrative Coordinator to help keep our operations running smoothly. You will be the first point of contact for clients, schedule jobs, ensure compliance, and prepare reports—all while providing outstanding service with clarity, compassion, and consistency.

Key Responsibilities

1. Phone & Customer Service

Answer and direct phone calls with professionalism, warmth, and clarity.

Assist customers with inquiries, job scheduling, and updates.

Communicate effectively with clients, technicians, and project managers to ensure smooth job coordination.

2. Scheduling & Coordination

Schedule jobs efficiently, balancing urgent requests with planned work.

Coordinate with field teams to ensure proper job assignments.

Track job progress and ensure all necessary resources are allocated correctly.

3. Compliance & Documentation

Maintain up-to-date compliance records, ensuring all jobs meet industry regulations and company standards.

Assist with certifications, permits, and safety documentation.

Prepare and submit reports related to compliance, safety, and job performance.

4. Reporting & Administrative Support

Accurately document job details, progress, and outcomes.

Assist in preparing reports that help improve efficiency and client satisfaction.

Support office operations with general administrative tasks.
