Full-Time Receptionist and Administrator – Join Our Growing Team at Elite Electrical!

About Elite Electrical:
Elite Electrical is a fast-growing provider of high-quality domestic electrical, heating, and cooling maintenance services across Melbourne. We pride ourselves on our professional, reliable service and our commitment to building long-lasting relationships with our clients. We are looking for an enthusiastic and reliable full-time Receptionist and Administrator to join our dynamic team and help drive our continued success.

Position: Receptionist and Administrator
Location: Melbourne
Hours: Monday to Friday, 8am - 4pm (hours may vary)

Key Responsibilities:

Reception & Communication Management:

  • Answer and screen phone calls, take accurate messages, and follow up on tasks.
  • Respond to and manage emails, ensuring prompt communication with clients and internal teams.
  • Review and manage missed calls and SMS messages daily.
  • Handle incoming and outgoing mail, ensuring timely processing of invoices and other important documents.

Customer Service & Administrative Support:

  • Provide exceptional customer service, managing general administrative tasks and ensuring smooth day-to-day operations.
  • Assist with the preparation of materials for meetings and presentations.
  • Track and follow up on pending administrative tasks to ensure timely completion.

Administration & Scheduling:

  • Organise and manage the daily calendar, prioritising tasks and appointments for senior staff.
  • Schedule job dates/times with customers, confirming details and availability.
  • Enter and confirm scheduled jobs in ServiceM8, assigning technicians and notifying clients.
  • Assist with job progress tracking, sign-offs, invoicing, and follow-ups in ServiceM8.
  • Assist with invoicing and account management, processing outgoing invoices and forwarding them for payment via Xero and ServiceM8.

Document & Filing Management:

  • Maintain and organise the office filing systems, ensuring all documentation is easily accessible and up to date.
  • Process and manage apprentice profiling cards in the Exemplar Systems portal, ensuring timely approvals.
  • Assist with the preparation of reports and presentations, ensuring accuracy and timeliness.
  • Organise, file, and archive incoming documents as necessary.

Office Supplies & Inventory Management:

  • Oversee office supply inventory, ensuring stock levels are maintained and placing orders when necessary.
  • Monitor office equipment and coordinate with vendors for repairs and maintenance.

Skills & Qualifications:

  • Previous experience in administration, reception, or office management is preferred.
  • Proficiency in office software, including Microsoft Office and Google Suite.
  • Experience with ServiceM8, Xero, and Asana is a bonus.
  • Strong communication skills, attention to detail, and excellent organisational abilities.
  • Ability to multitask and handle a range of tasks effectively.
  • Positive attitude and a strong team player.
