JOB SUMMARY:

This Project Administrator role is ideal for both entry-level candidates eager to develop their project management skills and experienced administrators looking to fast-track their progression. With a focus on supporting project teams, organising tasks, and ensuring smooth communication across departments, this role is vital in coordinating and overseeing project milestones while ensuring smooth operations from project onboarding to close-out. You will assist Project Managers, Clients, and Management in executing and tracking projects on schedule, within budget, and meeting all quality standards.

MAIN DUTIES/RESPONSIBILITIES:

  • Oversee the preparation & maintenance of project documents, including schedules, variations, and reports.
  • Manage the end-to-end process of each project lifecycle including onboarding, tracking, invoicing & project close-out.
  • Monitor project progress against key milestones and deadlines, ensuring efficient delivery.
  • Prepare & review reports on project status and ensure that stakeholders are kept informed of key developments.
  • Manage, process & file inbound emails from a central mailbox and coordinate related activities.
  • Participate in project meetings, providing updates and contributing to the planning and execution process.

SKILLS & EXPERIENCE:

Qualifications:

  • Bachelor's degree in Project Management, Construction Management, Business Administration, or a related field (or equivalent work experience).

Experience:

  • 0-3 years of experience in project coordination, administration, or a related field.
  • Familiarity with project management software & CRM software (e.g., Microsoft Office, Monday.com, Assignar) is preferred.

Skills:

  • Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills, with the ability to interact with stakeholders at all levels.
  • Analytical skills, with the ability to gather and analyze project data to make informed decisions.
  • Strong attention to detail and a proactive approach to problem-solving.
