Job Purpose

Reporting to the Head of Operations APAC, the Customs, Logistics, and Purchasing Specialist is responsible for managing the end-to-end logistics of international freight, as well as coordinating purchasing and stock receipt activities. This role ensures compliance with all import/export regulations, tariff systems, and customs requirements while also managing supplier relationships and coordinating stock movements to positioned stock as needed to support business need.

The role encompasses two primary areas of responsibility:

  1. International Freight and Logistics: Managing customs and compliance, freight coordination, and end-to-end documentation to ensure smooth movement of goods from origin to final destination.
  2. Purchasing and Stock Receipt: Placing purchase orders, coordinating with suppliers and warehousing, managing stock receipt, transferring stock between warehouses as required and ensuring accurate record-keeping in ERP systems.

Given the size of the Australian team, support with Demand Planning and Fulfilment activities may be required from time to time.

Key Responsibilities

Logistics and Customs Management

  • Act as the subject matter expert for international freight and logistics.
  • Investigate applicable legislation, regulations, standards, and best practices related to freight and distribution in the APAC region.
  • Advise on import/export restrictions, tariff systems, insurance requirements, quotas, and other customs-related matters for new business opportunities.
  • Review and monitor freight rates to ensure competitiveness and liaise with forwarding agents regarding rates and schedules.
  • Organise and track all freight shipments from origin to final destination while monitoring ETAs and keeping relevant stakeholders informed.
  • Collect, verify, and process all forwarding-related documentation to ensure compliance and timely submission to local authorities, ports, and freight forwarders.
  • Manage customs and compliance for export/import, handling, and transport of goods, with a specific focus on the APAC region.
  • Liaise effectively with domestic and international vendors to build capability, efficiency, and reliability while fostering positive relationships.
  • End-to-end reporting & administration, including A to Z management of POs, transfers and documentations in ERP as well as approval, reconciliation and coding of all related 3PL invoices.
  • Monitor and analyze ongoing costs and performance against budget to ensure financial efficiency.
  • Proactively identify cost-saving opportunities, streamline processes, and anticipate potential challenges, communicating insights to relevant stakeholders and implementing improvements as needed.

Purchasing and Stock Management

  • Coordinate stock purchase and stock transfer, including placing purchase orders (POs) and transfer orders (TOs) and confirming order details with suppliers.
  • Manage the end-to-end stock receipt process, coordinating with warehousing and logistics teams to ensure smooth and accurate receipt of goods.
  • Resolve discrepancies or delivery issues with suppliers
  • Maintain accurate records of stock movements, purchases, and supplier communications in the ERP system (Business Central).
  • Review and approve 3PL invoices, including reconciliation and coding of charges, and ensure timely processing.
  • Support continuous improvement initiatives by identifying areas to optimize the purchasing and stock management process.
  • Collaborate with stakeholders to identify opportunities to mitigate costs and increase efficiency.
  • Contribute to ongoing analysis of logistics and purchasing costs versus budget, and proactively communicate any variances.

Person Specification

Experience

  • Minimum 3-5 years of experience in international freight and shipping, ideally within the APAC region.
  • Minimum 1-2 years of experience managing customs and compliance for export/import of food products, including lodging food applications with the Department of Agriculture.
  • Proven experience in purchasing, stock management, and coordinating with suppliers and warehouse teams.
  • Demonstrated experience with ERP systems (e.g., Navision, Business Central, SAP), with Microsoft Business Central preferred.
  • Experience in domestic freight, distribution, and logistics is highly regarded.
