Situated in the heart of the CBD in Melbourne, this organisation has excellent transport links and multiple paid car parks nearby. The role offers 5 days in the office, with typical hours being 9am-5pm however candidates are expected to flex occasionally for board meetings outside these hours.

What is unique about you?

Highly experienced in administration you are a highly skilled and professional administrative assistant who has extensive experience with Microsoft office suite. Strong interpersonal and communication skills are essential in this role, with administration experience in a medium-sized organisation. A team player who effectively works independently once given direction. Able to interact effectively with a broad range of internal and external staff and stakeholders. Additionally, you will have good organisational and time management skills.

A snapshot of your role….

  • Serve as the primary on-site point of contact for all staff, managing incoming visitors and deliveries, addressing general inquiries, and ensuring seamless follow-up to execute requests and provide comprehensive information on facilities and administrative processes to both staff and visitors.
  • Efficiently oversee office operations under direction, including obtaining quotes, managing supply orders, and ensuring the proper maintenance and tracking of office assets.
  • Coordinate facilities management by working closely with building management, contractors, and tradespeople, scheduling services as needed, and ensuring all necessary documentation and inductions are completed as per building management requirements.
  • Take ownership of maintaining a clean and organised office environment, regularly inspecting all areas to ensure optimal presentation and reporting any issues to the COO’s Executive Assistant.
  • Promptly report any Workplace Health and Safety concerns to the COO’s Executive Assistant via email, with urgent issues communicated in person.
