The Sales Administrator/Finance Administrator will play an integral role in facilitating the operational efficiency and smooth day-to-day running of the business. Key responsibilities for this role include:

  • Performing daily reconciliation of trust and general accounts
  • Accurately coding transactions in Xero
  • Managing payroll, employment contracts, and invoice processing for both incoming and outgoing transactions
  • Processing contracts from under contract to settled and drawing up contracts for incoming offers
  • Ensuring that all financial transactions and contracts are managed accurately and efficiently
  • Coordinating open home lists, booking with sellers, and preparing open home kits
  • Liaising with team members and sellers through WhatsApp and Messenger
  • Processing refunds and marketing drawdowns from trust
  • Preparing monthly board reports
  • Maintaining accurate and up-to-date records and documentation
  • Providing personal assistant support to the principal agent and undertaking other ad hoc administrative tasks

The ideal candidate will possess the following skills and attributes:

  • 3+ years of experience in real estate administration
  • A passion for finance and real estate operations
  • Strong financial and business acumen
  • Proficiency in Xero and general accounting practices
  • Excellent communication skills with a team player mentality
  • Exceptional attention to detail
  • Strong organisation skills
  • Highly motivated and driven
  • A proactive approach, with the ability to work autonomously
  • Commitment to achieving excellence
  • Flexibility and adaptability, with a willingness to undertake a varied range of tasks
  • Ability to manage competing priorities and prioritise effectively in a dynamic, fast-paced environment
