Per Hourly Range: $38.31 - $40.18 per hour pending experience

About the role
Columba Catholic College, Charters Towers is seeking an experienced and dedicated Office Manager/Personal Assistant. This is a term time, fixed term position completing 37 hours a week. The role will commence as soon as practicable until the 5 December 2025.
The term time (41 week) position is during the school term, plus two additional weeks prior to Term 1 commencing and an additional week at the completion of Term 4 each school year.
The role of Office Manager/Personal Assistant is responsible for providing high level executive and administrative support to senior management demonstrating a high level of self-initiative, flexibility, attention to detail, autonomy and dependability.
The Office Manager/Personal Assistant will be required to liaise with visitors, parents, staff and students to the College. The incumbent will present a professional image and create a welcoming, warm and positive impression. As the initial point of contact for many key stakeholders, the Office Manager/Personal Assistant will deliver high quality customer service.
Key Accountabilities
The Office Manager/Personal Assistant typical duties include, but not limited to:
- Carry out a wide range of administrative duties to the Principal at an advanced level, including but not limited to: Calendar management, answering phones, typing, photocopying, data entry and filing,
- Assist senior management with College activities for specific events in accordance with established routines and procedures.
- Coordinate the day to day organisation and operation for the Columba Administration Team.
- Assist and oversee the Columba Administration Team, including the planning and management of work.
- Assist with tracking of leave for the Columba Administration Team.
- Assist with employment and recruitment processes, as required.
- Preparation and assist with communications, newsletters, marketing materials and Facebook.
- Assist with past student events, registers overall coordination and related communications.
Experience
- Relevant experience providing high level executive and administrative support to senior management
- Demonstrated experience in coordinating administration teams
- Demonstrated ability to prioritise and manage demanding or competing deadlines and workloads to ensure outcomes are achieved within timeframes
- Experience and proficiency in the use of Google and Microsoft Office Suites at an advanced level
- Previous experience within the Education sector would be considered advantageous
- Experience and proficiency in the use of Canva and Publisher would be advantageous

- Possess excellent interpersonal and communication skills and an ability to communicate with a range of internal and external stakeholders
- Confident and well presented and engaging with a personal warmth that engenders mutual respect
- Proven history of professional and confidential work ethic
- Enthusiastic, energetic, and flexible with a proactive attitude
- Ability to develop and sustain productive working relationships
Mandatory Criteria
- Current Working with Children Suitability Card - The successful candidate will require a paid Blue Card before commencement as per the No Card, No Start policy developed by Queensland Government
- Minimum certificate level or higher qualification or equivalent relevant experience
- Current Driver’s Licence
- Ability to travel from time to time within the Catholic Diocese of Townsville
- Ability to perform the physical requirements of the role in a safe manner.
Desirable Criteria
- Relevant tertiary qualifications at Certificate level or equivalent qualifications relevant to the position is desirable
- Previous experience in the education field would be considered advantageous.
