Role Overview
The Executive Assistant to the Director plays a pivotal role in supporting the Managing Director in overseeing strategic, operational, and governance-related functions within TassieCare. This role requires a high level of confidentiality, professionalism, and strategic coordination to ensure the Director’s time is effectively managed, key priorities are actioned, and TassieCare operates in line with legislative and regulatory requirements.
The successful candidate will have a strong understanding of relevant legislation, regulatory frameworks, and governance principles, particularly within the NDIS sector, child safety services, and employment law. They will work closely with executive leadership, regulatory bodies, and key stakeholders to ensure compliance, operational efficiency, and strategic alignment across the organisation.
Key Responsibilities
Executive & Administrative Support
- Manage the Director’s schedule, correspondence, and workflow, ensuring priorities are effectively coordinated and communicated.
- Draft, review, and manage high-level reports, policies, and submissions in line with NDIS Practice Standards, the Children, Young Persons and Their Families Act 1997 (Tas), and the Disability Services Act 2011 (Tas).
- Prepare executive briefings, presentations, and documentation for executive meetings, regulatory engagements, and strategic planning.
- Ensure confidential handling of sensitive matters, including participant information and compliance reporting
- Develop and maintain governance records, including executive papers, executive meeting minutes, and internal compliance reports.
Governance & Compliance Support
- National Disability Insurance Scheme Act 2013 (Cth)
- Children, Young Persons and Their Families Act 1997 (Tas)
- Privacy Act 1988 (Cth) and NDIS (Protection of Confidential Information) Rules 2018
- Provide executive-level support in ensuring NDIS and child safety compliance, including preparing reports for the NDIS Quality and Safeguards Commission and Child Safety Services (CSS).
- Assist in the management of NDIS worker compliance requirements, including mandatory training, reporting obligations, and safeguarding protocols.
- Ensure all executive decisions and internal policies are aligned with Tasmanian and federal legislation, including:
Stakeholder & Relationship Management
- Act as a key liaison between the Director and internal/external stakeholders, including government agencies, regulatory bodies, and sector partners.
- Support the Director in engagement with NDIS Commission representatives, Child Safety Services, Ombudsman Tasmania, and other regulatory agencies.
- Facilitate high-level correspondence and strategic partnerships to strengthen TassieCare’s presence in the disability and child safety sectors.
- Manage the coordination of inter-agency collaborations, forums, and executive-level sector discussions.
Operational & Project Coordination
- Support the Director in overseeing operational efficiencies, workforce planning, and service delivery improvements.
- Assist in the management of risk assessment frameworks, incident reporting, and restrictive practice compliance.
- Work closely with the Compliance, HR, and Finance teams to ensure accurate reporting and adherence to internal governance protocols.
- Coordinate internal audits, quality improvement initiatives, and strategic service expansion projects.
- Ensure effective rostering, workforce planning, and operational contingency strategies to maintain service continuity.
Key Selection Criteria
Essential
Qualifications & Experience:
- Tertiary qualification in Business Administration, Management, Legal Studies, or a related field.
- Minimum 5+ years of experience in executive support, corporate governance, or regulatory compliance.
- Strong experience in NDIS, disability, or child safety services.
Governance & Compliance Knowledge:
- Comprehensive understanding of NDIS legislation and child safety regulations
- Experience in board-level governance, corporate compliance, and executive decision-making support.
- Knowledge of risk management frameworks, regulatory reporting, and sector-specific policies.
Stakeholder Engagement & Communication:
- Demonstrated ability to engage with high-level government and regulatory stakeholders.
- Excellent written and verbal communication skills, with experience drafting legislative submissions, board reports, and compliance documentation.
Desirable
- Prior experience working in a legal, policy, or governance-focused role within the NDIS sector.
- Familiarity with corporate risk mitigation strategies and legislative reform processes.
Conditions of Employment
- NDIS Worker Screening Check and Working with Vulnerable People Card (Tasmania) required.
- Current driver’s licence and ability to travel as required.
- Completion of mandatory organisation trainings
