Executive Assistant to the Director Corporate & Community

(Permanent, full-time - 70 hours per nine-day fortnight)

As our Executive Assistant to the Director Corporate & Community, you will be responsible for providing high quality administrative and secretarial support to the Director by preparing and coordinating corporate reports, correspondence, documents/briefs and coordinating the day-to-day management of phone calls, emails calendar requests and scheduling of meetings on behalf of the Director.

Our ideal candidate will be politically astute, able to maintain strict confidentiality and will demonstrate analytical thinking and problem solving, commitment to quality customer service, and have well-developed communication skills.

This role will work closely with the other EAs within Council to support our Directors to achieve Council’s strategic and operational objectives. If you have previous experience as a personal or executive assistant for a senior-level manager, we strongly encourage you to apply.

Tasks & responsibilities

(Note - the list below is non-prescriptive and the incumbent will be expected to undertake additional duties)

  • Manage the Director’s diary appointments, records and correspondence.
  • Provide at a senior executive level, skilled support for communication and stakeholder matters, including drafting complex written correspondence, monitoring public relations, and advising of possible issues to the Director Corporate & Community.
  • Deliver confidential office management practices to maximise the efficiency of the Director Corporate and Community.
  • Manage stakeholder relationships in areas of priority including organisation and attendance of meetings, including Council meetings.
  • Prioritise and action correspondence and briefings per Council standards and customer service requirements.
  • Carry-out projects on behalf of the Director.
Qualifications & experience

(Essential selection criteria)

  1. Certificate IV in Business, Management or Project Management or equivalent experience.
  2. Contemporary experience of 3 years or more in a similar role as a personal or executive assistant.
  3. Excellent organisational and administrative skills with the proven ability to multitask, meet pressing deadlines, set priorities, follow-up stakeholders and convey an appropriate sense of urgency to matters at hand.
  4. Excellent written skills, with the ability to develop complex reports and documents, accurately summarise and convey complex information.
  5. Excellent verbal and influencing skills, with the ability to give clear briefings on issues.
  6. Demonstrated experience and ability working in a politically sensitive environment.
  7. High-level computer skills using Microsoft Office, particularly Word, Excel and Outlook, and conferencing software - with the ability to quickly learn new packages if required.
  8. Current Class C Drivers Licence.
