Contract Duration: 10 weeks (until 26th May 2025)
Location: Office-based (Monday to Friday in the first week, Monday-Thursday in the office, WFH Friday thereafter)
Hours: You can either work from 8:30AM – 5:00PM OR 7:30AM – 4:00PM
Salary: Up to $80,000+ Super, based on a per annum basis

About the Role We are recruiting on behalf of a leading construction and fit-out company seeking a Project Administrator to join their team on a 10-week contract. This role is ideal for someone with strong finance administration experience and the ability to support project teams in a fast-paced environment. Working closely with Construction and Project Managers, you will provide crucial financial and administrative support to ensure seamless project operations.

Key Responsibilities

  • Setting up and maintaining project folders and records
  • Managing documentation in Procore (essential), BuildPass (nice to have), and SharePoint (nice to have)
  • Coordinating travel arrangements for site teams, including flights, accommodation, and car rentals
  • Ensuring OH&S documentation is completed before project commencement
  • Preparing and uploading drawings to Procore and SharePoint

Finance Administration:

  • Assisting with client invoicing, purchase orders, and contract administration
  • Supporting the preparation of quotations and variations
  • Managing budget tracking and financial reporting
  • Liaising with subcontractors regarding progress claims

Stakeholder Coordination:

  • Communicating with internal and external stakeholders to facilitate smooth project execution
  • Attending and documenting client meetings

Skills & Experience

  • Experience in finance or contract administration within the construction or design industry
  • Procore proficiency is essential
  • Experience with BuildPass and SharePoint is beneficial
  • Strong organizational and multitasking skills
  • Ability to work effectively in a fast-paced, deadline-driven environment
  • High attention to detail and strong stakeholder management abilities
