Full Job Description:
Are you a highly organised and professional Executive Assistant with senior-level experience, seeking an exciting opportunity to support C-suite executives in a dynamic and fast-paced environment? Our client, a leader in the services sector, is looking for a highly skilled and proactive EA to support both the CFO and the Chief Legal Officer. In this diverse and critical role, you'll have the chance to leverage your advanced operational skills and deep expertise in managing complex schedules, legal documentation, and executive-level reporting while building relationships at all levels within the organisation.

About the Role:
In this pivotal role, you’ll be working directly with two of the company’s top executives—the Chief Financial Officer and the Chief Legal Officer—ensuring that their time is optimised and operations are running smoothly across the business.

Your key responsibilities will include:

  • Advanced Operational Skills: Master managing complex diaries, emails, files, and scheduling for both the CFO and CLO. You’ll be responsible for meeting and committee secretariat duties, preparing agendas, minutes, and follow-up actions. You’ll coordinate travel and catering logistics, ensuring everything runs seamlessly.
  • Expert Microsoft 365 Knowledge: You’ll be a key player in utilising Microsoft 365 suite for diary management, report generation, project management, and communication. Your expertise in handling high-volume email correspondence, file management, and scheduling will be pivotal in ensuring both executives can focus on their strategic priorities.
  • Strong Relationship and Service Orientation: Your ability to quickly learn the business and gain an understanding of its needs will enable you to make informed decisions independently. You’ll build strong relationships with key stakeholders across the organisation, developing a network of contacts and acting as the go-to person for internal and external communication.
  • Reporting & Executive-Level Correspondence: Draft, format, and produce executive-level reports, correspondence, presentations, and communications with exceptional attention to detail. Your strong written communication skills will ensure that all correspondence and documents are presented to the highest standard.
  • Legal Experience & Compliance: You’ll bring experience in high-volume reporting and expense management, with a particular focus on documentation and compliance.
  • Attributes & Interpersonal Skills: Bright, personable, and proactive with a strong character, you’re able to push back respectfully and manage the executives' time effectively. You possess exceptional communication skills, allowing you to build rapport and maintain professional relationships with individuals at all levels across the organisation. Your ability to adapt quickly and work autonomously will be essential in this fast-paced role.
  • Attention to Detail: You will bring a sharp focus on detail. The CLO, in particular, has a keen eye for detail, and your meticulous approach will help ensure nothing is overlooked.

You have mastered the art of managing complex schedules, preparing high-quality reports and presentations, and coordinating travel and events. You are comfortable working with high-level stakeholders and have experience in environments where networking and collaboration with internal EA teams is critical to success. You have the confidence and maturity to work autonomously while being a trusted partner to your executives.
