Role Description
We are an Australian owned facility services business that has been proudly operating for over 35 years. We have expanded in capability and experience across a wide range of industries to a presence that proudly services hundreds of commercial properties across Australia every day. We directly employ a team of over 400 staff servicing our client base and are currently expanding to further meet our client needs. This expansion has seen us grow our commercial cleaning business into a portfolio of services for property managers, including Grounds Maintenance, Landscaping, Pest Control and Property Maintenance, providing a more compelling offer to customers.
Our construction division works with a range of different volume builders / private clientele to design and construct beautiful landscapes, and have built a strong industry reputation which has led to ongoing growth. Due to this expansion, we are seeking a talented Project Administrator to join the tight-knit team at our Keilor East office.
Some key responsibilities would include:
- Working with leading hands, supervisors, clients, as well as our internal teams to manage projects in our system
- Interpreting client purchase orders to ensure they match agreed contract terms, then entering into system
- Raising purchase orders on suppliers for materials, and liaising with our field teams to schedule delivery dates based on work progress
- Advising the Operations Manager of scheduling / production issues that might impact on key schedule dates.
- With the support of the office team, participate in planning meetings based on work progress/delays
- Communicate with clients to update them on project status
- Support management of inbound leads, communicating with clients to understand project scope and gather more information.
- Utilise our tools to interpret plans/drawings, and with the support of the team, prepare quotations for clients.
- Support admin activities such as rostering worker shifts, timesheet signoff, and management of receipts
About You:
The successful applicant will ideally possess skills and experience in the following areas;
- Understanding of construction industry processes and procedures ideal
- Ability to interpret construction drawings and measure areas
- Experience in landscaping industry will be highly regarded
- Intermediate to advanced skills in Excel and/or Power BI
- Subcontractor procurement and negotiating.
- Demonstrated skills in project/client management
- Excellent Communication & Writing Skills
- A high level of computer literacy and IT savvy
- Organizational skills critical and an ability to prioritize competing tasks a non-negotiable

We are a close knit team so this role will be an important cog in the day to day operation, with you ability to engage with office team, management and our field teams critical to your success.
Hours: 8am to 4pm nominally
