Starting Salary: Starting from $81,000, dependent on skills and experience + generous workplace conditions including 16% superannuation and rostered days off.
About the Role
Join the national office of one of Australia’s largest trade unions, the Australian Services Union, as an Administration Assistant. We work with our members every day to win better pay and conditions, and the working lives they deserve. This newly created position is crucial in supporting our campaigns and ensuring smooth office operations.
Key Responsibilities
Under the guidance of our Administration Manager, you will:
- Prepare documents, campaign updates, and correspondence (including proofreading, filing, and distribution to stakeholders).
- Utilise Microsoft 365, CRMs, and other online platforms to support our campaigns and industrial teams.
- Arrange and coordinate meetings and conferences (both in-person and virtual).
- Act as secretariat for meetings as required.
- Manage diaries and travel requirements for elected officials.
- Coordinate best-practice administrative processes, including data management and filing systems.
- File documents with the Fair Work Commission or other regulators as needed.
- Handle incoming emails and phone calls, as well as manage postage and couriers.
- Analyse data and trends in conjunction with the Administration Manager and union leadership, assisting in report preparation and recommendations.
- Perform high-quality general administrative duties as required.
Selection Criteria
- Proven experience as an effective office administration professional.
- Ability to identify, prioritize, and manage multiple tasks and meet deadlines.
- Highly developed computer skills, including proficiency in Microsoft 365 (essential) and other platforms such as CRMs, CMS, and databases (highly desirable).
- Excellent written and oral communication skills, with the ability to liaise effectively and sensitively at all levels, both internally and externally.
- High attention to detail, strong administrative and organizational skills.
- Capacity to implement best-practice administrative processes for a medium-sized office.
- Flexible and supportive team player, able to adapt work practices to meet the needs of the union, our members, and colleagues.
- Experience in coordinating meetings, events, and conferences (including room bookings, online meeting management, catering, and preparation of meeting papers/board packs).
- Previous experience in executive and/or board support (highly desirable).
- Commitment to the values of trade unionism.
