About the role

The purpose of this role is to provide administrative support across the organisation, helping to ensure the provision of high quality supports, to people living with mental health and disability. This will involve playing a key role and supporting the operations of our human resources, accounting systems, marketing activities, stakeholder engagement, payroll, phone systems, and rostering.

Whilst the role is a work from home role, we are looking for someone from our operating sites of Melbourne, Geelong (Vic), or the Northern Rivers of NSW. There will be times the administration officer needs to work with colleagues, attend staff events etc.

Tasks

· Be a first point of contact for all staff, participants, and key stakeholders, via all communication platforms – phone, email, social media.

· Support our scheduling processes through the rostering of staff and approval of timesheets.

· Assist in the recruitment of new staff, arrange interview times, and conduct reference checks.

· Oversee the employee onboarding process, including the issuing of employment contracts and other necessary documentation.

· Support staff to engage with our client management, payroll, communication, and human resource systems.

· Assist with compliance by working with employees to ensure that all documentation, checks, training and certificates remain up to date.

· Maintain organisational documents, assist with reporting, and attend team meetings for the purpose of taking minutes.

· Assist our accounting processes through the issuing and reconciling of invoices using our accounting software.

· Assist with the administration of our payroll system and processes.

· Play a role in our marketing activities, including updates to our website, social media, and the creation of marketing collateral such as staff bios, print media and newsletters.

· Assist with the intaking of new participants, including the issuing of service agreements and other necessary documentation.

· Help develop and maintain strong systems and processes to assist with audits and other compliance initiatives.

· Assist in creating a vibrant and fun culture by organising social and professional development events, conducting workplace surveys, and role modelling a healthy work-life balance.

Key Selection Criteria

Essential:

· Strong organisational and administrative skills.

· Working with Children’s Check (Employee)

· NDIS Screening Check

· Rights to work in Australia

· Excellent verbal and written communication skills

· Living in Melbourne, Geelong (Vic), or the Northern Rivers of NSW.

Desirable:

· Qualifications in business management, administration, or a related tertiary qualification.

· Experience working in an organisation that provides supports to people living with mental health and disability.

· Experience with accounting, rostering and HR systems, such as Xero, KeyPay, Employment Hero, etc.

· Experience with Microsoft Office and other platforms such as Slack and Asana.

· The ability to learn new skills, streamline systems, and to find new and improved ways of doings thing.

· A ‘can-do’ attitude with the ability to think on your feet.

· Efficient time management skills and the ability to work autonomously.

· Exceptional written and verbal communication skills.

· Strong interpersonal skills and the ability to form relationships with key stakeholders - executive team, employees, participants, and their families.
