We are seeking an experienced and highly motivated Practice Manager to join our dynamic team at an established Allied Health clinic located in beautiful Noosaville, Queensland. This is a part-time role offering flexibility in hours, providing the opportunity to work in a supportive team environment. You will play a crucial role in ensuring the smooth operation of the clinic, while also contributing to a positive and welcoming atmosphere for our patients and staff.
Key Responsibilities:
Client & Communication Management:
- Receiving calls and emails, directing them to the appropriate person as needed.
- Greeting children and families visiting the clinic for services.
- Liaising with clients, doctors, teachers, and plan managers to ensure seamless communication.
Clinic Administration & Coordination:
- Managing clinicians’ diaries and booking appointments.
- Processing client payments and managing payment plans.
- Typing letters to doctors, teachers, plan managers, and clients.
- Scanning, photocopying, and maintaining general filing duties.
- Managing office supplies, including stationery and equipment.
- Performing cleaning duties when required to maintain a tidy office.
Finance & Payroll:
- Handling payroll management via QuickBooks.
- Following up on invoices and debt collection.
- Preparing invoices and bank statements for BAS, liaising with our bookkeeper regularly to ensure everything is in order for BAS lodgment.
Staff Management:
- Onboarding new staff, ensuring all required documents, registrations, and NDIS screeners are completed, and setting up necessary accounts and electronic files.
- Managing staff leave systems, approving leave requests, and coordinating sick and annual leave.
- Organising professional development and training opportunities for staff, including booking, payment, and ticketing.
- Reviewing staff KPIs quarterly and providing feedback.
- Addressing staff concerns or disputes and providing resolutions.
Clinic Operations & Maintenance:
- Coordinating office maintenance such as repairs, furniture ordering, and handling flat-pack assembly.
- Overseeing room allocation for clinicians.
- Ensuring school observations and community appointments are well coordinated with all necessary documentation and consent in place.
Website & Recruitment:
- Updating the company website, including staff profiles, policies, and fees.
- Advertising job openings and managing recruitment ads on Seek.
- Liaising with recruitment agents about job vacancies.
Other Duties:
- Coordinating the fortnightly professional development lunch for the team.
- Ensuring all relevant training is completed prior to client appointments.
- Weekly meetings with the business leadership team (i.e., owners and general manager (allied health)) to ensure the smooth running of operations.
- Regular meetings with the general manager (allied health) for day-to-day management of the clinic and staff.

About You:

You’ll have experience in office management, ideally within a health or medical setting, and a strong understanding of payroll and finance management systems like QuickBooks. A calm, solution-focused attitude will be essential for dealing with both clients and staff concerns.
