About the Role

We’re looking for a highly organised and customer-focused Office Manager / All-Rounder to join our team at That Pool Heating Company Pty Ltd in Coomera. In this role, you’ll be responsible for ensuring the smooth and efficient operation of our business, providing vital support across customer service, sales, administration, and logistics

What you'll be doing

  • Provide high-level customer service handling customer enquiries via phone, email, and in person
  • Act as the primary point of contact for clients, preparing quotes, scheduling jobs, and managing the sales process through to invoicing
  • Identify opportunities to improve office efficiency and implement new processes or systems as required
  • Assist with other ad-hoc administrative tasks as needed to support the overall business objectives
  • Manage and oversee stock levels ensuring the technicians have everything needed for their jobs
  • Oversee profit and loss management for jobs and quotes
  • Assist with online sales and help grow this area of the business across a range of platforms
  • Organise and maintain the warehouse and inventory
  • Manage day-to-day office operations, including coordinating the installations, ordering supplies, invoicing, Xero reconciliation and maintaining and improving office systems and procedures

What we're looking for

  • 5+ years of experience as an Office Manager or in a similar senior administrative role (experience in the pool or trade industry is a plus)
  • Exceptional organisational and time management skills – able to prioritise and work under pressure
  • Strong customer service skills with a friendly, professional approach
  • Demonstrated problem-solving and decision-making abilities, with a keen eye for detail
  • Ability to multitask and adapt quickly – the workload can shift from 0-100 in seconds!
  • Knowledge of financial processes, including invoicing and reconciliation
  • A proactive attitude – someone who takes initiative and gets things done
  • Comfortable working independently and as part of a team
