An excellent opportunity has arisen for a highly motivated and experienced clinic administrator to join a friendly, fast paced, and expanding early intervention therapy clinic based in Hoppers Crossing. Your daily responsibilities will include but are not limited to:
General Administration
- Daily e-mail management, opening, forwarding, posting, filing as required.
- File management including filing, hard / electronic file creation, archiving (reports and documents)
- Development of resources as required
- Sending documents to client families, management, printing, posting, filing support for Director.
- Responsibility for ordering office supplies as required.
- Light cleaning and tidying duties as preschool children space and need for team support with children.
- Organising and supervising of office staffing such as cleaners, rubbish removal, organising tradespersons if needed
- First aid certificate highly regarded
- Sending of invoices and book-keeping duties as required
Client Services: Administrative duties including
· Answering the phone for clients and team
- Taking and processing new referral information.
- Managing client queries and concerns in collaboration with the Director and Coordinator
- Management of Change for Life social media scheduling, coordination, and posting
- Assist with client data and report preparation
- Managing weekly attendance sheets for contractors
- Updating excels and supporting schedule management
- Assisting with weekly team meetings
- Management of client database
- Supporting coordinator and program directors in diary management of clinic
- Minute taking for meetings
- Organising team events for staff
Essential criteria: The ability to maintain a high level of professionalism and confidentiality.
- Excellent organisational skills in running office duties and time management
- Excellent communication skills, written and verbal.
- Demonstrated skills in problem solving, conflict resolution, and dealing with a wide variety of people in the role
- Ability to work independently, show initiative and work productively within a team environment.
- Ability to communicate with a diverse range of people.
- Previous experience in an allied health reception or similar administrative position.
- Previous experience in the use of Medical Client Management Software (e.g., Coreplus, HealthKit, Medical Director etc, Clinico, Halaxy) will be highly regarded.
- Working knowledge of Windows-based software systems, for example, Word, Excel.
- Proficient in social media uploading and creating content
- An understanding of the Medicare Benefits Schedule and NDIS billing process.
- An understanding of medical terminology, medical and allied health professional organisations and relevant stakeholders.
Performance appraisal: This position will be reviewed after three months initially then on an annual basis. Applicants require Current CPR training undertaken within the past three years or willingness to participate in such training; Current Police Check and Working with Children's check;
- NDIS Worker screening check; and
- Work rights in Australia.

Our practice provides assessment and intervention for children, many of whom have a diagnosis of Autism Spectrum Disorder (ASD) or a developmental delay. Change for Life is registered for NDIS.
