A well-established volunteer-led Not-for-Profit, The Ballarat Arts Foundation works to develop the aspirations and talents of emerging artists from all disciplines who have lived, worked or studied in Ballarat. We do this by providing seed funding, cultivating connections, mentoring, training and support.

The Executive Assistant / Board Secretary positions offers a mix of administrative and executive support, focusing on office management, communication, event and program support and supporting the governance functions of the board and sub-committees. It’s a varied role with opportunities to build strong connections in the arts community, work flexibly and take on new challenges.

Duties and Key Responsibilities

  • Prepare Agendas and Board papers, attend Board Meetings and record minutes,
  • Drafting publications including newsletters and promotional material
  • Support programs with administrative functions and communications with the Board, donors, alumni, audience and partnering organisations
  • Maintain digital records across multiple platforms (SharePoint, email, salesforce, Jotform)

Skills and Experience

The ideal candidate will be highly organised, proactive, and capable of handling multiple tasks at once. You should possess strong communication and interpersonal skills, be proficient in office software, and have a solid background in executive or administrative support roles. A natural team player with not-for-profit governance experience and a keen interest in the Arts will be highly valued.

  • Proven experience as an Administrative Assistant or Executive Assistant.
  • Exceptional organisational and multitasking skills.
  • Proficiency in office software (e.g., MS Office, MS SharePoint, CRM systems)
  • Experience in Squarespace and Social Media platforms
  • Experience in managing calendars, stakeholder engagement and event planning.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality and handle sensitive information.
