Role Highlights: This is a key opportunity for an experienced Office Manager to join a growing and successful accounting firm. You will be responsible for overseeing the day-to-day operations of the office, ensuring smooth and efficient administrative processes. Working closely with the senior leadership team, you will provide essential support to their daily functions while maintaining a well-organised and productive work environment. In this role, you'll also help implement office systems and processes that enhance efficiency, all within a collaborative and growth-oriented firm culture.
Role Overview
As the Office Manager, you will play a pivotal role in ensuring the smooth and efficient operation of the accounting firm. Your proactive approach and attention to detail will be essential in managing office administration and supporting day-to-day operations.
You will oversee office logistics, scheduling, meeting coordination, inventory management, and travel arrangements. Your ability to balance these responsibilities will be key in driving operational efficiency, contributing to the firm's continued growth and success.
Responsibilities
- Manage all office administrative functions, ensuring smooth and efficient day-to-day operations.
- Oversee relationships with external stakeholders, including IT, printers, cleaners, and maintenance providers.
- Maintain and update Xero to ensure accurate record-keeping.
- Manage the firm's LinkedIn profile, ensuring content is up-to-date and engaging.
- Coordinate and manage the firm's charitable outreach and community involvement.
- Collect, sort, and distribute ATO mail to clients in a timely manner.
- Ensure office and kitchen supplies are stocked, maintained, and organised.
- Coordinate and manage internal and external events, ensuring seamless execution.
- Manage team training requirements, ensuring all staff have access to necessary resources and development opportunities.
- Coordinate travel arrangements for senior staff members as needed.
- Oversee the onboarding and offboarding of new staff members, ensuring smooth transitions.
- Prepare engagement letters and other client correspondence as required.
- Maintain filing systems for documents and emails, ensuring proper scanning and organisation of source documents.
- Manage the internal phone system, serving as the first point of contact and welcoming clients during visits.
- Maintain clear and direct communication with all team members to support collaborative workflow.
Candidate Profile
You are a proactive and detail-oriented professional with experience in office management, ideally within a financial services firm. With the ability to work autonomously and manage multiple tasks simultaneously in a fast-paced environment, you excel at staying organised and maintaining efficiency. Your innovation and problem-solving skills, paired with a friendly, positive can-do attitude, make you an asset in any team. You bring strong written and verbal communication abilities and advanced knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). You have excellent organisational and time-management skills, a keen attention to detail, and a genuine willingness to learn and grow within the firm. Adaptable and solutions-driven, you will play a crucial role in ensuring smooth office operations and supporting the firm's continued success.
