About You
You are a proactive and detail-oriented professional with experience in financial services operations. You thrive in a dynamic environment and are skilled in managing business functions, driving efficiencies, and ensuring compliance.
The Opportunity
As part of our ongoing growth, we are seeking an experienced Practice Manager to join our boutique financial planning firm on a full-time (or part-time) basis. This is a pivotal role overseeing the daily operations of our practice, ensuring efficiency, compliance, and excellence in service delivery. You will manage and support various business functions, including operations, compliance, IT, human resources, investment solutions, and strategic growth initiatives.
Key Responsibilities and not limited to: -
- Business Owner Support: Reporting directly to the practice principal, provide ongoing support to the Principal Adviser and adhering to strict compliance requirements, including advice documents, meeting minutes and file note dictation.
- Business Management: Maintain third-party relationships, support business strategy execution, and provide management reports.
- Process Management: Design, implement, and optimise workflows using financial planning software.
- IT Management: Evaluate, integrate, and maintain technology solutions, manage data security, and oversee IT procurement and maintenance.
- Human Resources: Assist with recruitment, onboarding, leave management, training, performance reviews, conflict resolution, and compliance with employment laws.
- Compliance Management: Ensure adherence to regulatory requirements, implement compliance processes, and manage annual audits.
- Operations Management: Oversee workflow management, maintain smooth operational processes, and enhance client experiences.
- Investment Solutions: Set up and manage investment solutions on product platforms, ensuring accurate implementation of client investments.
- Business Expansion: Conduct valuations and due diligence for mergers and acquisitions, manage data migration, and oversee onboarding during transitions.
Essential Skills & Experience:
- Previous experience in a practice management role within financial services.
- Strong understanding of financial planning software (Xplan) and workflow optimisation.
- Financial Planning qualification (FASEA's requirements)
- Knowledge of regulatory compliance and industry best practices.
- Experience in HR functions, including recruitment and performance management.
- Ability to manage IT systems, security, and technology integration.
- Excellent communication, leadership, and problem-solving skills.
- Experience in business expansion, including M&A processes, is highly regarded.
