Position:
Practice Manager SWCS
Reports to:
Prof Morgan and Dr Turner
Position Objective:
Take a leadership role in effectively managing operational and administrative aspects of SWCS; provide support for Clinicians in carrying out their role and ensuring an exceptional standard of care and service for our patients.
Accountability/ Level of Authority:
The Practice Manager will be responsible for the overall management and coordination of SWCS
Practice: Busy colorectal practice with currently 2 surgeons, 2 secretarial staff, & 1 practice nurse
Position Overview
The Practice Manager is responsible for overseeing the day-to-day operations of the colorectal practice. The incumbent will be responsible for liaising with the practice doctors, rostering of personnel, ensuring adherence to policies and procedures, resolving IT or telecommunications issues as they arise, carrying out finance functions such as billing, the banking and petty cash reconciliation.
This position requires comprehensive and proven sound judgement and the ability to be effective and professional when dealing with patients, doctors, and staff. The Practice Manager is required to be highly organised, flexible, proactive, and resourceful.
This position requires the incumbent to operate with a high degree of independence in a fast-paced environment and to observe the highest level of confidentiality.

Core Duties of role
Administrative Requirements
•
Liaise with surgeons in relation to consulting days and operative lists
•
Communicate with patients for bookings, operation booking and billings
•
Communicate with hospitals, anaesthetists and assistants regarding operation lists, patient details etc
•
Monitor administration workflow to ensure turnaround times are met:
o
Bookings
o
Letters
o
Filing and scanning
o
In tray
•
Manage staff roster ensuring adequate staffing
•
Manage staff leave calendar
•
Manage surgical quotes, billing and Medicare processing in a timely manner
•
Responsible for IT software updates, troubleshooting and hardware with the assistance of the IT support officer
•
Liaise with Shexie support staff to ensure accurate data for processing patient accounts and patient records
•
Oversee office and medical supplies; arrange for repairs or purchase of equipment
•
Liaise with staff to resolve any patient issues
•
Provide administrative training and support to staff
•
Assist with clinical duties and front desk coverage
Human Resource Management
•
Responsible for the recruitment, performance management and staff training
•
Review and update all office and practice procedures ensuring all are documented, current and implemented
•
Implement OH&S procedures for the Practice
Finance
•
Produce financial reports on an as needed basis
•
Provide accountants with finance reports and statements as required (MYOB/BAS)
•
Responsible for the initiation of end of financial year processes
•
Liaising with accountants on an as needed basis
•
Review and update finance procedures as needed
•
Responsible for recording invoices, payments & receipts into MYOB
•
Work along with practice external bookkeeper
•
Business Activity Statements & Instalment Activity Statements
•
Monthly review of finances

Business Development
•
Liaise with clinicians doing locum work, or research
•
Actively develop and maintain relationships with individuals, groups and organisations to support Practice growth
•
Develop and implement a process for obtaining patient feedback and monitor on a regular basis
•
Establish a databank of feedback and update regularly and monitor patient feedback
Risk Management
•
Monitor and maintain Practice activities to ensure continuing eligibility for Practice Medicare accreditation
•
Documentation and reporting of adverse events
•
Ensure all insurance policies are current
•
Develop, implement and review patient and financial auditing processes
Qualifications & Experience:
•
Qualifications and /or experience in an office management environment.
•
Ideally experience in a Practice Manager role in a medical or allied health setting.
•
Diploma in Practice Management or similar qualification or willingness to complete.
The role requires the following skills and capabilities:
•
Excellent communication and interpersonal skills
•
A broad understanding of the operational requirements of a small sized business;
•
Demonstrated leadership, team management and team building experience
•
Proven ability to devise and review systems for operational efficiency and control
Key Selection Criteria:
•
Demonstrated skills in accounting and business management and reporting
•
Experience in staff management including knowledge of relevant legislation and employment conditions
•
Reliability and capability in problem solving, conflict resolution, negotiation and decision-making skills
•
Excellent organizational and time management skills
•
Demonstrated patient/client focused approach in service provision with genuine empathy and interest in their needs
•
Commitment to ongoing learning and a willingness to undertake professional development to meet the needs of the practice
Hours of Work:
This is a permanent full-time position.
Hours are from 9.00 – 5.00 pm daily.
A three-month probationary period applies.

Salary:
Negotiable depending on qualifications and experience

The successful applicant must be willing to undergo a Police Check.
