About the Role:
As an Administration Officer & Operations Support, you will play a vital role in ensuring the smooth day-to-day running of our business. This role is perfect for someone who enjoys working in a fast paced environment, managing administrative tasks, and providing essential support to our operations team.
Key Responsibilities:
- Provide general administrative support to ensure efficient business operations.
- Book and schedule jobs using ServiceM8 to keep workflow organised.
- Manage basic contracts with a high level of accuracy and attention to detail.
- Assist in the continued development and documentation of Standard Operating Procedures (SOPs).
- Maintain and organise digital and physical records for compliance and accessibility.
- Liaise with suppliers, clients, and service providers to coordinate business needs.
- Answer and make phone calls to clients, suppliers, and service providers.
- Schedule and coordinate meetings, appointments, and team events.
- Monitor and order office supplies to ensure smooth day-to-day operations.
- Update company databases and generate reports as needed.
- Assist with customer inquiries and provide professional and friendly support.
About You – The Ideal Candidate:
- Previous experience in administration or operations support, preferably within the building and construction industry.
- Comfortable answering phone calls while navigating a computer-based system.
- Proficiency in Microsoft 365 (SharePoint, Outlook, OneDrive, Teams, Word, Excel) is highly desirable.
- Experience with scheduling software is a bonus, but not essential.
- Strong organisational and time-management skills with the ability to multitask.
- Excellent written and verbal communication skills.
- High attention to detail, particularly with contracts and operations support.
- Ability to work independently and as part of a team in a dynamic environment.
- A proactive and problem-solving mindset with a commitment to continuous improvement.
- A friendly and professional attitude with strong customer service skills.
Reporting Structure:
This role reports directly to the Operations Manager, with secondary reporting to the Director.
Salary & Benefits:
💰 Salary Range: $60,000 – $70,000 per annum (based on experience).
