About the role

The Office of the Commonwealth Director of Public Prosecutions (Cth) (CDPP) is looking for dynamic, enthusiastic and experienced Executive Assistants (EA) to work in our Canberra and Brisbane offices.

Working as part of a small management team, you will report to and support an Assistant Director or Branch Head (SES Band 1). You will utilise your well-developed communication and stakeholder management skills to provide comprehensive support to the Senior Executive and their teams, deliver effective and efficient office support services and foster key internal and external relationships.

As an EA at the CDPP, you are keen to utilise your executive support skills and experience through undertaking the unique, rewarding, and diverse work the organisation offers. Ideally, you have a strong coordination and administration skills, enjoy collaborating as a member of a team, and possess excellent attention to detail and time management abilities.

Working collaboratively across the organisation, you will play a vital role in supporting and promoting the strategic objectives of the CDPP and have the opportunity to further develop your EA career in a supportive and engaging environment. The EA will liaise with partner agencies and stakeholders to build and strengthen relationships and improve outcomes across the APS and the criminal justice system.

You will be proactively managing the workload of the Senior Executive and encourage a team-based approach to the delivery of services by delegating and assigning tasks to team members, setting clear expectations and monitoring reporting deadlines. You will play an important role in identifying and resolving issues early for the Senior Executive and provide instructions and directions to team members to more efficiently and effectively manage workflow processes and competing priorities.

About you

This is an integral role for a high-calibre EA ready to take on a challenging yet rewarding role. The primary outcomes and accountabilities for this position will include:

  • Performing ‘front of office’ support functions for each Team within the Senior Executive Office, including greeting visitors, receiving and responding to phone calls, emails and general correspondence;
  • Diary management and coordination including scheduling appointments and organising travel
  • Managing correspondence, including monitoring emails, preparing responses to routine and less complex enquiries;
  • Assisting with coordinating Executive meetings and workflows; collating and follow up of information to ensure deadlines are met;
  • Providing high quality administrative assistance in collating papers for meetings attended by the Senior Executive that you will assist;
  • Providing secretariat support, including minute taking, to various Senior Executive lead meetings;
  • Liaising with various stakeholders of all levels and aiding with general enquiries;
  • Coordinating and reconciling Senior Executive finances;
  • Assisting the Branch or Practice Group as required; and
  • Coordinating procurement, contracts, and processing invoices for payment.
