About the business and the role

St Mary's Aged Care has facilities in Coolum Beach and Pelican Waters.

We are looking for a successful applicant that is flexible and will work well in a team environment.

St Mary's is looking for a Administrative officer to assist us in ensuring we provide services that are both efficient and supportive.

The position is Permanent Part-Time with guaranteed 3 days per week 08.30-16.30, plus holiday relief which would be 4-5 days per week when other admin staff are on leave. The role will consist of Tuesday and Wednesday at our Coolum facility, and Thursday at our Pelican Waters facility. This role requires a high level of customer service, ability to multi- task and be able to work in a fast-paced environment. Ideally, we are looking for staff with office and rostering experience, although this is not essential as there will be training provided.

Job tasks and responsibilities

Reception tasks

Ad hoc administration duties

Ensuring rosters are maintained and updated, all shifts are covered appropriately

Rostering 1 day per week

Accurate data entry

Assisting Staff, Residents and their families with enquiries

Maintaining audit records

Skills and experience

  • Experience using roster / scheduling systems - UKG/Kronos experience would be an advantage

Experience in Scheduling and Reception positions

Experience in Aged Care or a similar Healthcare environment

  • Have a high level of computer literacy
  • Be able to prioritise and manage time effectively
  • Problem solving skills
  • Enjoy a fast paced working environment
  • The ability to keep calm and relaxed under pressure; and a sincere commitment to resolving issues in a collaborative manner

Mandatory Requirements

  • Current National Police Check OR NDIS card (yellow card), or willingness to obtain.
  • References Essential
