EGS is seeking an experienced and highly organised Administrative Assistant to join our dynamic team in Hobart, Tasmania. This full-time position will be an addition to our existing office staff, providing on-the-job training and ongoing support from management.
As the first point of contact for our office, you will play a crucial role in ensuring smooth daily operations, providing exceptional administrative support, and liaising with both clients and contractors.
What You’ll Be Doing
Your key responsibilities will include:
First point of contact – managing inbound calls, greeting visitors, and handling general inquiries with professionalism.
Job scheduling – coordinating jobs efficiently and ensuring smooth dispatch of contractors.
Processing warranty claims – handling claims accurately and efficiently.
Liaising with suppliers – receiving job orders, coordinating deliveries, and managing stock control.
Ordering equipment – ensuring office and project-related supplies are stocked and accounted for.
Spreadsheet management – recording technicians’ time and attendance.
Finance tasks – creating and receipting in financial systems, petty cash, and credit card reconciliations.
Gate access & key register – managing site security responsibilities.
Administrative duties – managing office records, scheduling appointments and assisting with event coordination.
Clerical support – handling freight deliveries, filing, and general office tasks.
What We’re Looking For
We are looking for an efficient, organised, and detail-oriented professional who thrives in a fast-paced office environment.
Key Skills & Experience:
✔ Previous experience in a reception/administration role is highly desirable.
✔ Excellent phone skills with a polite and professional manner.
✔ Strong organisational and time management skills.
✔ Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
✔ Experience with Ascora software (not essential but highly regarded).
✔ Attention to detail and ability to manage multiple tasks efficiently.
✔ Strong communication and interpersonal skills to liaise with clients, suppliers, and contractors.
