Kids Support Program Coordinator

Reports To: Head of Kids Support
Location: Sydney or Newcastle

Employment Type: 30.4 hrs per week (4 days)

Role Overview:

The Program Coordinator will play a pivotal role in coordinating a portfolio of community-focused initiatives, grants, and events. The successful candidate will work collaboratively across teams and interact with key stakeholders such as schools, healthcare providers, families, and community members. This role demands high-level organisational, communication, and administrative skills to ensure our grants and programs are wide-reaching, impactful and creative a positive, lasting change for children who need it most.

Key Responsibilities:

Program Coordination & Administration:

  • Coordinate a portfolio of Kids Support initiatives, grants, and events
  • Contribute to identifying the need in the community and assist development of new programs and initiatives
  • Oversee existing programs, ensuring they are effectively implemented, meet key performance indicators (KPIs) and realise impact.
  • Maintain accurate records of program activities, including budget tracking, timelines, and accurate record keeping in Variety’s grant management system.

Grant Management:

  • Manage the full lifecycle of grants, including reviewing grant applications, communicating with families, coordinating approval by grant committee, payment processing and reporting.
  • Utilise the Blackbaud Grant Making system to track and manage grants.
  • Stakeholder Communication:
  • Foster positive relationships with schools, healthcare providers, families, suppliers and community partners.
  • Coordinate with internal teams to ensure seamless delivery of support to children, families and key stakeholders.
  • Contribute to preparation of reports to our board, senior management and funding partners on program performance, outcomes, and opportunities.

IT & System Management:

  • Use the Blackbaud Grant Making system to manage all grants and payments effectively, ensuring data integrity and accurate reporting.
  • Assist in troubleshooting system-related issues and be proactive in learning new platforms or tools to enhance program management processes.
  • Provide training and support to other team members as necessary in the use of the grant management system.

Key Selection Criteria:

Experience:

  • Proven experience in program coordination or management, preferably within a community-focused or service-oriented organisation.
  • Knowledge of or experience working in sectors that support children and families, particularly in the health and disability sector, would be highly regarded
  • Strong administrative experience, including the ability to manage multiple tasks and meet deadlines.
  • Experience in grant management and working with grant-making systems would be desirable

Skills:

  • Excellent written and verbal communication skills, with the ability to engage with a wide range of stakeholders including families, internal teams, external partners, schools and healthcare providers.
  • Strong IT skills, with the ability to confidently use Microsoft Office Suite and adapt to new software and platforms
  • Organisational skills with the ability to manage competing priorities.

Qualifications:

A relevant qualification in community services, health, education, or a related field is desirable, but not essential.

Work Conditions:

  • The role is 30.4 hrs (4 days per week) part-time with occasional evening work based on program needs
  • The suitable candidate could be based in either Artarmon or Newcastle as we have offices in both locations
  • We have a hybrid work model, combining 50/50 time in-office and remote work.
  • Occasional travel required between offices or to engage with community stakeholders
