Advantage Sports is a leading specialist in the construction of sports and recreational facilities, with over 30 years of industry experience. We are a trusted provider of sports court construction, synthetic grass installation, rubber soft-fall surfaces, and playgrounds. Our long-standing partnerships with local councils, government schools, Catholic education institutions, and multiple builders across Queensland ensure a steady pipeline of exciting projects in the region.

We are seeking a motivated and experienced Project Manager / Estimator to join our team. This role offers the opportunity to be involved in all aspects of project management, from estimation and tender submissions to on-site supervision and client liaison.

The Role

  • This role would be focused on commercial projects of up to $500K in value.
  • Primarily focusing on (but not limited to), the delivery of acrylic sport coatings and associated sports equipment.
  • Actively seeking sale opportunities, focusing on the company’s core product ranges, including acrylic coatings and other related products.
  • Estimating and completing proposals, including tender packages using excel, word and Bluebeam (basic CAD drawing).
  • Project managing jobs, including ordering materials, coordinating personnel and contractors, liaising with clients, and conducting quality assurance and management inspections.
  • Implementing and updating new procedures and policies to suit growing company and construction requirements.
  • Onsite supervision where required.
  • Occasional travel away from home for periods of 4 – 5 days (for project management/site supervision).

Key Responsibilities

  • Identify and pursue new business opportunities within our core product range, with a focus on acrylic sports coatings.
  • Prepare competitive cost estimates and detailed project proposals for potential clients.
  • Manage and oversee construction projects to ensure timely and high-quality delivery.
  • Coordinate project logistics, including material procurement, personnel scheduling, and contractor management.
  • Supervise site activities as needed, ensuring safety, compliance, and quality standards are met.
  • Implement and refine company procedures and policies to support business growth and evolving construction requirements.
  • Travel for site supervision and project management, occasionally requiring stays of 2–3 days.

Requirements

  • Proven experience in project management and estimating, with the ability to prepare professional tender submissions.
  • Background in the building/construction industry (qualifications desirable but not essential).
  • Strong communication and leadership skills, with the ability to manage small teams and build client relationships.
  • Ability to prioritise and manage multiple tasks efficiently and effectively.
  • High-level written and verbal communication skills.
  • Willingness to be hands-on, coordinating teams and working closely with clients to ensure successful project outcomes.
  • Proficiency in Microsoft Excel, Word, and Bluebeam (basic CAD skills advantageous).

THE ROLE ENTAILS:

Sales

  • Reach out to clients to promote and offer our services.
  • Conduct sales trips as needed, which may require being away from home for up to 4-5 days at a time.
  • Actively pursue tender opportunities to expand business prospects.
  • Active networking with industry professionals.
  • Ensure thorough site inspections are conducted to gather the necessary details for accurate quotations.
  • Professionally document and organise plans and site information, ensuring all relevant data is correctly filed for future reference.

Quotations

  • Perform construction take-offs using Bluebeam software, ensuring all calculations are clear and easily understandable by all parties involved.
  • Accurately complete quotation costings with a strong focus on detail to avoid both overpricing and underpricing.
  • Prepare professional quotation letters with careful attention to the details of the quote, including the scope of work and any exclusions.
  • Ensure quotations are completed on time and meet the client’s requirements.

PROJECT MANAGEMENT:

Scheduling

  • Oversee and manage job and staff scheduling to ensure all deadlines are met.
  • Accurately input and update scheduling information and changes in the required software.
  • Keep clients informed and up to date on scheduling progress and any changes.

Purchasing

  • Manage the procurement of all materials, services, subcontractors, and hired equipment prior to project commencement using the MYOB program.
  • Verify that all materials meet the required standards and specifications for the project.
  • Confirm and check the availability of all orders and materials before the project begins.

Project start up

  • Facilitate clear and consistent communication between the company and the client.
  • Ensure a pre-site inspection is completed before the project begins.
    Confirm that the site and previous work meet the required standards and align with the scope outlined in the quotation.
  • Develop an action plan and address any variations if the site or prior work does not meet requirements before sending crews to the site.
  • Complete site information packs professionally with accurate details to ensure construction crews fully understand the project.
  • Ensure all material lists in the information packs are filled out correctly before handing them to the construction crews.
  • Ensure that all site plans and designs are up to date, including accurate details.
  • Complete WPHS and Q&A documents, ensuring they are signed by all onsite personnel and kept up to date throughout the project.
  • Verify that all materials and required tools are available and ready for use.
  • Attend the site with ground crews, when necessary, to conduct a start-up meeting.

Project duration

  • Take responsibility for all personnel on site, ensuring they work to their full capacity and maintain a high level of professionalism.
  • Provide hands-on supervision and construction oversight as needed.
  • Maintain clear communication between the company and the client throughout the project.
  • Keep the client informed at all times, notifying them of any delays, changes to scope, or other important updates, both verbally and in writing.
  • Coordinate all material, staff, and equipment deliveries to and from the site, ensuring timely availability to avoid project delays.
  • Ensure the correct materials, including specific batches, are sent to site to prevent color variation or inconsistencies.
  • Ensure compliance with WPHS standards on-site.
    Complete Q&A checks throughout the project, adhering to HOLD points and necessary inspections.
  • Perform site inspections as per Q&A HOLD points to verify that the work meets required standards.
  • Ensure that all required site and progress photos are taken and sent to ASL as work progresses or personally attend the site to capture necessary photos and conduct inspections. (Photos must be taken even if the site is inspected personally).
  • Monitor and ensure that man hours and project progress are in line with work targets.
  • Maintain a clean and organised site at all times.
  • Implement variation and action plans promptly to minimise downtime.
  • Ensure variations are accurately costed, variation forms are completed, and signed by the client, then returned to Advantage Sports before commencing any variation work.
  • Manage and resolve any disputes with clients, contractors, staff, or other parties involved in the project.

Project Completion

  • Maintain clear communication between the company and the client throughout the project’s completion.
  • Conduct a site inspection of completed work before handing over the project to the client.
  • Ensure all work meets Advantage Sports’ standards and client expectations before handover.
  • Coordinate site inspections with the client and site installer, arranging an alternate meeting if unable to attend.
  • Address all defects promptly, ensuring they are rectified to the required standard.
  • Ensure the site is left clean and tidy, and any damage caused by Advantage Sports to surrounding areas is repaired.
  • Pack, wrap, and return all materials to ASL in an organised and tidy manner.
  • Properly store all returned materials at the ASL warehouse, ensuring correct organisation.
  • Return site information packs immediately upon completion, check for accuracy and completeness, and save them in the relevant electronic folder.
  • Complete the sign-off sheet for project closure.
  • Hand over the project to the accounts team, ensuring all required paperwork is neatly organised and saved.
  • Inform accounts about contractor invoices, indicating if they are ready for payment or if a portion needs to be withheld.
  • Complete and submit a defect report to the installer, coordinating timely repairs of any issues.
