About the Role
We are seeking a highly motivated and organised individual to join our team as Executive Services Coordinator. In this role, you will provide high-level support to the Chief Executive Officer (CEO) and Mayor, coordinate all functions within the office of the CEO and Councillors, and lead the team of Executive Assistants across the organisation.
This position demands a calm, focused, and professional individual, able to navigate a complex and fast-paced environment. This is an exciting opportunity to balance complex strategic projects with community events, engage with a diverse range of people from Ministers to primary school students, and coordinate detailed activities alongside operational meetings. You will need strong project management skills, exceptional communication abilities, professionalism, motivation, confidence, and a resilient sense of humour. This is not an entry-level position—this role requires the skills, wit, and patience of a dedicated and passionate individual.
Key Responsibilities
- Effective Coordination: Provide efficient coordination of routine matters involving the office of the CEO and Mayor, and work closely with the Executive Assistant to Mayor & Councillors to ensure that Councillors are supported.
- Project Management & Research: Oversee and monitor timelines and deadlines for projects assigned to the Corporate Management Team, ensuring their successful delivery.
- Support Organisational Culture: Actively participate in Council activities, staff meetings, and training to foster a positive and collaborative workplace culture.
- Facilitate Positive Relationships: Build and maintain positive working relationships with colleagues in other public authorities and government agencies to help support the CEO’s initiatives.
- Governance & Reporting: Assist with the monitoring and coordination of governance and performance reporting for directorates, ensuring alignment with the Council Plan, Budget, and Procurement Policy.

The Rural City of Wangaratta was formed from the merger of the City of Wangaratta, the Shires of Oxley and Wangaratta and parts of the Shires of Beechworth, Benalla and Yarrawonga. Originally known as the Shire of Milawa when the municipality was created on 18 November 1994 it was renamed the Rural City of Wangaratta on 29 June 1995.
