We are currently looking for a detail-oriented and versatile Administration Operations Specialist to help drive our success across accounts receivable, customer service, and order processing. As the first point of contact for our clients and visitors, you will play a key role in maintaining ahigh standard of service and professionalism both face to face and on the phone.
Key Responsibilities:
As an Administration Operations Specialist at Aquachem, your role will encompass the following areas:
Customer Service:
- Act as the main point of contact for customer inquiries, concerns, and requests.
- Provide clear, accurate information about products, services, and promotions.
- Assist customers with order placement, changes, returns, and cancellations.
- Resolve issues and complaints efficiently while ensuring customer satisfaction.
Order Processing:
- Review incoming orders for accuracy and completeness.
- Enter orders into the system promptly and accurately.
- Ensure timely fulfillment of orders by coordinating with relevant departments.
- Communicate order status updates to customers and internal teams.
- Assist in managing inventory levels and replenishment processes.
Accounts Receivable:
- Generate and dispatch invoices to customers accurately and on time.
- Follow up on overdue payments and resolve payment discrepancies.
- Maintain accurate payment records and reconcile accounts.
- Assist with month-end closing and reporting.
Qualifications:
- Previous experience in accounts receivable, customer service, or order processing.
- Strong understanding of accounting principles and customer service best practices.
- Excellent communication skills and a customer-first attitude.
- Highly organised with great attention to detail and time management skills.
- Proficiency in Microsoft Office and experience with accounting software MYOB Exo is a bonus.
- Ability to thrive in a fast-paced, team-oriented environment.
