About the Role
We are looking for an Executive Assistant / Office Administrator to provide high-level support to our Managing Director and ensure the smooth running of our business operations. In this fast-paced and dynamic role, you’ll manage the Managing Director’s calendar, appointments, and email inbox, ensuring priorities are well-organised and communication flows seamlessly. You will also assist with financial administration, including accounts payable and receivable, expense tracking, and monthly reporting, so being numbers-savvy and detail-oriented is essential. With training you will also be our designated Security Officer – managing and reporting on matters affecting security clearances for our team.
This role suits someone who is highly organised, efficient, and enjoys creating order from complexity. You’ll use your initiative to identify improvements, deliver efficiencies, and make Yellow Hat run seamlessly. We are looking for someone who is outgoing, client-focused, and eager to learn, with a strong sense of professionalism and care in every interaction.
The role is full-time and predominantly office-based (Canberra City). We can support part time worked across five days a week (Monday to Friday) – please note in your application if you are seeking part time. The salary is $70k–$95k per annum plus superannuation, depending on skills and experience.
About You
We are looking for someone who has:
Proven experience as an Executive Assistant, Personal Assistant, or Office Administrator, ideally in a professional services or client facing environment.
Excellent calendar, diary, and email management skills, with strong attention to detail and prioritisation.
Confidence working with numbers and financial administration, including invoicing, accounts payable/receivable, and reporting.
Brilliant organisational skills with the ability to manage multiple (and changing) priorities and types of tasks.
High proficiency with MS Office; experience with Xero or Employment Hero is advantageous but not essential.
Strong communication skills and a friendly, professional approach when engaging with clients, partners, and colleagues.
A proactive, solutions-focused mindset with the ability to anticipate needs and streamline processes.
