About the Role
This Graduations Officer reports to the Team Leader, Graduations and contributes to the provision of high-level customer service for both internal and external customers of the University. The role responds to client needs and operates with a strong team focus.
The position is responsible for contributing to the efficient delivery of all aspects of graduations, including coordination of awards for all Swinburne students (including transnational and commercial education partners), onshore and offshore graduation ceremonies and accurate processing and management of completion documentation.

A key aspect of this role is the extracting, preparing, and maintaining accurate graduation data to support the planning and delivery of onshore graduation ceremonies. This includes generating reports, verifying graduate eligibility, and ensuring data integrity across systems. The role also contributes to the logistical coordination of ceremonies, including venue arrangements, scheduling, and collaboration with internal and external stakeholders to ensure seamless event execution.
The role also contributes to the efficient, effective and timely delivery of the range of functions within the Graduations, Fees and Scholarships team and more broadly across Student Administration as required.

About You
To be suitable for this role you will need to have experience in the below key accountabilities:

• Experience in the provision of high-quality events within a demanding client focused and deadline driven environment.
• Demonstrated excellent interpersonal skills including the ability to work collaboratively as part of a team as well as independently, and to liaise effectively with students, staff and other stakeholders.
• Excellent written communication skills and attention for detail ensuring high quality and accurate records and written materials.
• Demonstrated ability to interpret and undertake tasks within the context of university policies, procedures, and regulations, including the ability to identify areas for process improvement.
• High-level ability and skills in the use of computer software packages, including word processing and spreadsheets.
• Demonstrated ability to learn and use the University’s Student Management System.
• Demonstrated broad knowledge of Higher Education and VE student administration processes.
