About the Role
Clarity Partners is partnering with a well-established Civil Engineering and infrastructure company that delivers projects in earthworks, utilities, roadworks, and infrastructure services for public and private clients across metropolitan and regional Western Australia.
We are seeking a Project Administrator to join the team in Perth’s eastern suburbs. You’ll be the operational backbone of multiple civil and infrastructure projects—ensuring documentation, coordination, and communication flow smoothly to allow engineering and delivery teams to focus on execution.
Key Responsibilities
- Provide administrative and coordination support across assigned projects (civil, infrastructure, utilities)
- Maintain project documentation, registers, and control systems (version control, filing, governance)
- Prepare, compile, and distribute meeting agendas, minutes, correspondence, and project reports
- Assist with project cost tracking, variation requests, invoice processing, and budget updates
- Liaise with consultants, subcontractors, suppliers, and internal stakeholders to ensure information flow
- Monitor project timelines and deliverables; flag risks or delays to Project Managers
- Support tendering and procurement tasks, including managing submissions, document control, and compliance
- Assist in project close-out tasks—handover of documentation, reconciliation of deliverables, lessons learned
- Support internal systems such as ERP or project management tools (e.g. document control, dashboards)
- Maintain quality, safety, and compliance records (HSE, permits, inspections)
- Manage general office and project administrative tasks (travel, site diaries, scheduling, correspondence)
About You
- Diploma, Advanced Diploma, or Bachelor’s degree in Business, Engineering, Project Management, or a relevant field
- 2–5 years’ experience in a project or construction administration role (civil/infrastructure preferred)
- Strong organisational, time management, and multitasking skills
- Excellent attention to detail, written and verbal communication skills
- Proficiency in the Microsoft Office suite (Word, Excel, Outlook). Experience with project software, ERP, or document control systems is a plus
- Comfortable dealing with stakeholders at various levels (site, consultants, clients)
- Understanding of contract, variation, and procurement processes
- Knowledge or exposure to HSE, quality, compliance, and site practices
- Local to Perth / willing to commute to eastern suburbs
