Role Summary: The Operational Cornerstone
We are a growing small trade business powered by a handful of hard-working employees, and we need our Everything Enthusiast to be the operational cornerstone that keeps the entire system running smoothly. This pivotal, in-office role in Blackwood is the essential link between our field work and our financial health.
You'll be the one person we rely on to master our core tools (Xero, Ascora, Canva) to manage our financials, run payroll, chase payments, and handle our online image. What You'll Be Enthusiastic About (Key Responsibilities)
đź’¸ Money Flow & People Support
End-to-End Payroll: Own and execute the complete payroll cycle for our small team using Xero, including timesheet verification, payment processing, and managing superannuation/tax compliance.
Bookkeeping & Accounts: Manage daily financials, including accounts payable, expense tracking, and bank reconciliation within Xero.
Cash Patrol (Debt Collection): Enthusiastically and professionally manage accounts receivable. Proactively follow up on overdue customer payments to maintain steady cash flow.
Job Management: Maintain all job records, customer data, and scheduling details within our field service management system, Ascora.
📣 Outward Vibe (Marketing & Social Media)
Social Star: Own and manage the social media calendar. Create, schedule, and engage with content (posts, stories, etc.) across platforms to keep our brand visible and approachable.
Content Commander: Utilise Canva to create simple, on-brand graphics for social media and basic marketing materials.
Customer Communication: Handle professional correspondence and utilise the Microsoft Office suite (Outlook, Teams) to support sales and service efforts.
🗄️ Order & Efficiency (Admin & Data)
Data Detective: Be the master of administrative organisation. Use Microsoft Office tools (especially Excel) to collate, secure, and maintain all vital company documents and data.
Process Improvement: Look for ways to simplify and streamline our back-office procedures to save time and reduce errors.
Admin Anchor: Handle diverse, essential administrative tasks to support the team and ensure the office runs without a hitch.
Who We're Enthusiastic About (Qualifications)
You are a master multi-tasker with high attention to detail—a critical skill when dealing with both finance and public-facing content.
Proven experience with or demonstrable ability to quickly master Xero (both bookkeeping and payroll functions).
Comfortable creating basic graphics and content using Canva.
Highly proficient with the Microsoft Office suite (Excel is essential for data management).
You have a positive, proactive attitude and thrive in a small, independent team environment.
Experience with Ascora or similar trade management software is a bonus!
