We are seeking a skilled and experienced Office Manager to oversee the day-to-day operations of our agency and provide administrative and operational support to our education counsellors and international recruitment partners. This role is critical in ensuring smooth coordination between students, institutions, and our global offices.

Salary: A$76,600
Key Responsibilities
Manage and oversee all office administration and scheduling
Supervise and support administrative and student support staff
Coordinate meetings with international partners and clients across different time zones (Australia, Brazil, Europe, etc.)
Oversee the preparation and accuracy of student applications, enrolments, and compliance documentation
Maintain communication with education providers, ensuring accurate and timely submission of course applications and visa-related paperwork
Track budgets, reporting, and compliance with education agency regulations and internal policies
Develop and maintain office systems, databases, and recordkeeping for the company
Manage Payroll, performance management, training and onboarding.
Support the Director in the development and implementation of office policies, procedures, and operational frameworks.
Manage and monitor office expenses and budget, including reconciliation and expense tracking using Xero.
Skills and Experience Required
Minimum 1 year of experience in office management, administration, or a related role within an international education organisation
Minimum 1 year of experience with payroll and bookkeeping
Diploma or Certificate IV or equivalent professional experience.
Fluency in both Portuguese and English (written and spoken)
Proven ability to manage meetings and communications across multiple time zones
Excellent organisational and problem-solving skills
Strong communication and interpersonal skills, with the ability to liaise professionally with students, education providers, and overseas agents
Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and CRM systems
Proficiency with Google Workspace, Trello and Miro
Proficiency with Xero
Strong attention to detail and the ability to work to deadlines in a fast-paced environment
Police Check
Must have existing Australian work authorisation at the time of application
