Immediate start available got 3 month contract, reporting to the Accounts Team Leader

Responsibilities & Duties

· Daily processing of payable bank accounts bank accounts and monthly reconciliations.

· Processing purchase invoices through purchase orders and work orders in simpro, our job management system and processing all invoices via ezzybills in to xero, our accounting system.

· Weekly processing and reconciliation of credit card invoices including:

- chasing up of employee invoices internally (including phone calls to employees)

- calling suppliers to obtain purchase invoices.

· Weekly reporting individually to employees with credit cards of all outstanding invoices.

· Handle incoming calls through the 3CX phone system from customers, suppliers, and internal team members, providing timely and professional support.

· Weekly review of credit limits on our WEX and bunnings accounts.

· Management and prompt response of 3 x Accounts Payable mailboxes.

· Weekly supplier reconciliations and prompt processing of all outstanding invoices.

· Liaising directly with suppliers to resolve queries, including missing invoices, credit notes, and reconciliation discrepancies in a timely and professional manner.

· Setting up and processing supplier payments on a weekly basis

· Preparing payment batches for approval.

· Monthly reconciliations of outstanding purchase orders on simpro.

· Month end reconciliations.

· General ledger maintenance and reconciliations.

· Recognising discrepancies and inconsistencies in accounts payable records and solving them.

· Using your time management skills to meet deadlines.

· Cross-train with the Bookkeeper to provide reasonable coverage during leave or peak workloads, ensuring continuity of the work of the accounts team.

· Adhoc duties as and when required.

Personal qualities & behavioural traits

· Professional ‘can do’ attitude

· Accounts payable experience

· Proficiency in word, excel and outlook

· Experience in Xero accounting system

· Excellent communication and interpersonal skills

· Strong attention to detail and ability to prioritise workloads

· Self-starter with a strong focus on delivering high value results

· Can work unsupervised

· Ability to work under pressure and meet deadlines

· Proven organisation and time management skills

· Flexible and collaborative, willing to broaden skills to support other finance functions when required.
