Drive impact behind the scenes - Executive Assistant opportunity based in Melbourne or Sydney

6-month fixed-term opportunity, full-time or part-time (minimum 4 days/week)

This is an exciting opportunity for an experienced Executive Assistant to join our team, playing a pivotal role in providing administrative and operational support for the MD and CEO located in Sydney and Melbourne.

This dynamic position is accountable for organising the executive’s time and priorities through expert calendar management, travel management, high level coordination and confidential handling of sensitive information.

This role requires a highly organised professional who can anticipate needs, manage complex schedules and facilitate seamless communication across internal and external stakeholders.

This role offers flexibility to be based in either Sydney or Melbourne. The Salary for this position ranges from $80,000 to $100,000, commensurate with experience and qualifications.

We are looking for a great candidate to start on 6-month contact immediately. Dependent on business requirements there may be an opportunity for role to transition to permanent.

As Part of This Role, You Will:

Manage executive calendars, including scheduling meetings (across multiple time zones), appointments, and travel.

Monitor and prioritise emails and flag matters as urgent or delegate to management team.

Prepare documents, reports, presentations, and other documents.

Coordinate internal and external meetings, including logistics, agendas, and minutes.

Handle confidential information with discretion and professionalism.

Liaise with internal departments and external stakeholders on behalf of the executive.

Prepare travel itineraries and process expense claims.

Support the executive in strategic initiatives and day-to-day operations.

Qualifications and Experience:

Minimum 3+ years’ experience as an Executive Assistant or in a similar administrative role.

Experience within Financial Services industry desired.

Strong written and verbal communication skills with a professional presence.

Experience managing complex calendars and travel arrangements.
