We’re Orthotics Plus — a boutique, mid-sized, and fast-growing Orthotics clinic with five locations across Melbourne. We’re all about helping people live better lives by reducing pain and improving mobility. We love what we do, and we’re looking for a Practice Manager / Operations Manager who’s ready to jump in and help us keep things running smoothly behind the scenes.

About the Role:

This newly created Practice Manager role will oversee daily clinic operations and lead our admin. You’ll be the operational heartbeat of our clinics, blending high-level patient interaction with inspiring team leadership. We're looking for someone with the vision to modernise our systems and processes, bringing your valuable experience to enhance efficiency and patient experience.

From supporting our amazing clinical and admin teams to making sure the patient experience is always top-notch, your role will touch just about every part of our practice. You'll work closely with our Directors and be central to decision-making, process improvement, and long-term planning.

This isn't just a management role; it's a hands on opportunity to shape and elevate our practice.

What You’ll Be Doing:

Smooth Day-to-Day Ops

Oversee the reception, billing, and appointment scheduling systems to optimise workflow and patient experience

Skilfully overseeing treatment coordination, acting as a vital link between patients, specialists, and our clinicians

Assist the clinical team with administrative tasks as needed

Covering the reception desk as required

Leadership & Team Vibes

Lead and support both administrative and clinical staff to be their best

Manage rosters, pays, recruitment, inductions, and performance reviews

Facilitate training and performance mentoring

Foster a team culture that’s professional, positive and proactive

Compliance & Finance

Handle accounts receivable/payable and make sure our books are balanced

Managing staff pays and leave

Keep us on track with compliance, industry standards, and regulations

People & Patient Experience

Ensure everyone who walks through our doors feels welcome and supported

Maintain strong relationships with patients, referrers, suppliers, and other stakeholders

Innovation & Strategy

Streamline systems and processes with smart use of tech

Assisting with engaging marketing and patient communication initiatives.

Drive operational excellence, workforce planning, and performance improvements

Identify opportunities for growth, efficiency and new services

This is a permanent, full-time position working 5 days a week from 8:30 am to 5:00pm.

About You:
You’re organised, people-focused, and proactive. You bring a calm and capable presence to your work and love helping things run smoothly behind the scenes. You're energised by leadership that blends structure with kindness.

What We’re Looking For:

Previous management experience in a Medical / Allied Health clinic is a must with NDIS knowledge highly regarded.

Outstanding verbal and written communication, coupled with genuine empathy and a patient-first approach.

Strong organisational, time management and multitasking abilities to thrive in a busy environment.

Tech confidence (MS Office, scheduling systems, etc.)

A people person who’s adaptable, reliable, and always ready to lend a hand

Ability to travel to other locations as required
