About the Role
In this dynamic role, you’ll be the trusted right hand to a busy Executive ensuring their schedules run smoothly, priorities are managed effectively, and day-to-day operations are seamless. From managing inboxes and diaries to coordinating meetings and preparing documentation, your contribution will be critical to the team’s success.
You’ll also play a key liaison role, building relationships with other executives and stakeholders across the department while maintaining discretion and professionalism in handling sensitive matters.
About You
You’re an experienced administrator or executive assistant who thrives in environments where no two days are the same. Your ability to stay calm under pressure, juggle competing deadlines, and communicate with confidence makes you a go-to person for getting things done. You’ll bring:
- A mature and proactive mindset
- Excellent attention to detail and the ability to multitask with ease
- Strong relationship-building skills with both internal and external stakeholders
- Sound judgment and the ability to handle confidential information with discretion
- High-level communication skills—both written and verbal
Key Responsibilities As Executive Officer, you will:
- Provide high-level personal assistant (PA) support to the executive team
- Manage diaries and inboxes, ensuring priorities are actioned in a timely manner
- Coordinate the flow of people meeting with the division and support executive availability
- Triage and respond to correspondence and emails on behalf of the executive
- Assist with general administrative duties including printing, document prep, and meeting coordination
- Support travel bookings and manage associated approvals or expenses
- Engage in problem-solving and identify opportunities to improve administrative processes
Qualities and Skills We’re Looking For
- Strong organisational and time management skills
- Proven ability to manage competing priorities in a high-pressure environment
- Confidence engaging with senior executives and external stakeholders
- Proficiency in Outlook, OneNote, and the Microsoft Office Suite
- Experience with purchase orders, expenditure approvals, and travel arrangements
- Ability to work both independently and as part of a close-knit team
- A positive attitude, flexibility, and a strong sense of accountability
