The Allied Health Studio Collective Brunswick is a multi-disciplinary Allied Health practice seeking an experienced administrative officer to join our fabulous team.
We are a friendly team who are seeking a highly motivated and compassionate person to work in a dynamic environment.
If you are an experienced front of house administration officer who loves supporting families and young people, with an eye for details, enjoy a bustling busy environment, love being organised and managing diaries and invoices, this role is for you!
The role is full-time or part-time (minimum 3 days) on-site at our Brunswick West clinic from 9am till 5.30pm.
The successful applicant will have experience working on-site with clinicians and clients, experience managing a medical database and experience supporting accounts for Medicare and NDIS clients. The successful applicant will be confident to take charge of clinician diaries and appointment scheduling to support our practice infrastructure and build strong supportive relationships with our families.
Key duties and responsibilities will include (but not be limited to):
- Meet and greet of patients visiting the studio
- Taking all incoming client enquiries in a timely and professional manner
- Processing client billing and receipting
- Scheduling and confirmation of client appointments
- Liaising with GP’s, client, families and schools
- Use of Halaxy software preferable and Google Drive (Docs and Sheets etc)
- Understanding of the NDIS and Medicare programs
- Assist with day-to-day studio operations, including filing, data entry, scanning, printing and maintaining a tidy studio.
To be considered for this role, you will have:
- Experience in a similar position working within a private practice specialists rooms
- Experience using Halaxy or other bookings software
- Enthusiastic and positive attitude, a high level of initiative and resilience
- Exceptional ability to prioritise and multi-task
- Excellent verbal and written communication skills
- Solid time management and organisational skills
- Reliable and punctual
- Ability to work with little to no supervision, in collaboration with other team members
- Compassionate and caring attitude to be an integral part of the care journey for clients and their families
