Role Description

This is a part-time role for an Administrative Officer at HMC Quantity Surveyors in Gold Coast, QLD. The Administrative Officer will be responsible for general administration tasks, providing administrative assistance, ensuring effective communication, delivering excellent customer service, and utilising strong organisation skills in business operations.

As an Administration Officer, you will play a vital role in supporting our team and ensuring smooth day-to-day operations. This position offers an opportunity to work in a collaborative environment where your contributions are valued and appreciated.

Key Responsibilities:

Monitor the company email inbox and respond to job inquiries.

Set up project folders and track new projects efficiently.

Input data and prepare reports for new projects.

Populate fee proposals using Canva and manage tender documentation.

Compile and submit cohesive tender packages.

Use ChatGPT and other automation tools to enhance workflow and extract data

Issue project invoices as required.

Perform general administrative duties to maintain organisational excellence.

About You:

We are looking for someone who is:

Organised and Detail-Oriented: Able to manage multiple tasks and prioritise effectively.

Tech-Savvy: Experience using Microsoft Office Suite is a must; experience with Canva, Adobe, and ChatGPT is an advantage.

A Strong Communicator: Excellent written and verbal communication skills.

Proactive and Solutions-Oriented: Always seeking to optimise workflows and improve processes.

Experienced in Administration: Proven experience in an administrative or similar role. Familiarity with project management or quantity surveying processes is an advantage.
