Facility Manager / Maternity Contract
M1 Business Hub Facility manager 3 days per week
Responsibilities/Duties:
● Maintain day-to-day operations and smoothness of the facility
● Lease out vacant serviced office spaces from new sales enquiries/opportunities
● Administrative duties such as preparing templates for new leases and collecting/managing information for new clients
● Build great relationships with clients as well as bringing on new clients from enquiries and inputting information in the CRM database
● Calendar and bookings management
● Completing and overseeing essential business duties
such as taking and delivering phone messages professionally and accurately, security, maintenance, mail, archiving, cleaning, maintaining office supplies, catering, waste disposal
● Maintain cleanliness presentation of reception area, meeting rooms, internal offices and kitchen area.
● Coordinate IT requests including internet and phone line setups
● Responding and handling client’s complaints
● Responding and handling maintenance issues
● Ensuring the facility is up to date with any workplace health and safety requirements and attending mandatory courses for the buildings emergency control
● Bookkeeping including using Quickbooks; accounts payable, accounts receivable, expense reconciliation, payroll and BAS duties, excel reporting
● Following up debtors/overdue invoices
● Achieve the company’s objectives and targets, set by directors
● Attend meetings with directors if required
● Liaising/managing other staff members
● Perform other office duties as assigned by the directors
9.Skills/Experience:
● Previous experience in office management or administration management within the office facilities is highly desirable
● IT knowledge with computers, internet and phones would be an advantage
● Bookkeeping skills and familiarity with Quickbooks would be essential
● Sales experience.
● Excellent verbal and written communication skills
● Taking initiative and being proactive in managing your own tasks and workload in the working week.
● Highly effective time management and organisation skills
● Distinctly dependable and trustworthy, with a strong and proven work ethic
● MS Skills: Word and Excel
● Knowledge of WHS practices and procedures
