New Medical Education Australia Pty Ltd (NewMed) is an exciting venture aspiring to be a new Australian medical school offering an innovative hybrid medical course, subject to successful registration with the Tertiary Education Quality and Standards Agency (TEQSA) and accreditation with the Australian Medical Council (AMC).
About the position
This diverse and busy temporary role working closely with the VC & Dean, providing essential administrative and secretariat support to executives and the organisation’s boards and committees.
Key responsibilities
The Executive Officer’s responsibilities will include, but not limited to, the following:
Secretariat Support
● Administrative support for senior executives, including meeting coordination, travel and preparation and/or collation required documentation.
● Provide support to staff preparing documents, submissions and/or planning events.
● Maintain systems (both hard copy and electronic) for storing, filing and retrieving documentation.
● Draft agendas, circulate papers and take minutes at the governing board, academic board and other operational committees, and follow up action items.
Communication and Coordination
● Promote the NewMed company culture and exemplary workplace practices. Onboard new employees and assist them to effectively settle into the organisation. Coordinate the NewMed staff health, safety and wellbeing program.
● Draft policy and procedures, work instructions, handbooks and other similar documents.
● Actively participate in the development, implementation, review and maintenance of internal systems, processes and work practices. Identify areas for improvement and recommend/implement enhancements to existing practices.
● Identify and report on risks and issues, escalating where appropriate.
Financial Administration
● Prepare documentation for financial expenditure.
● Action financial processes using Xero.
● Manage the use a company credit card to pay for approved items. Approve expenditure in line with the budget and Delegations of Authority Policy.
● Coordinate with the CFHRO to present financial and operational performance reports.
Selection Criteria: required qualifications and experience
Applicants for the NewMed Executive Officer must specifically address each of the following selection criteria:
1. Tertiary qualification (ideally in business or health) and a high level of competence in the use of office software (Microsoft/Google word, powerpoint, excel, mail) and databases.
2. Demonstrated excellent numerical and written communication skills.
3. Proven effectiveness in communicating with internal and external stakeholders and coordinating the implementation of action items.
4. Demonstrated initiative, flexibility, resilience, integrity and a positive outlook.
5. Appreciation of the strictures of confidentiality and conflicts of interest, and ability to work within them.
6. Appreciation of the principles of good governance and the processes required to comply with accreditation standards, legislation and regulations.
