Position Summary

We’re searching for a dynamic, proactive, and driven Executive Assistant to the CEO who brings not just exceptional organisation skills but also energy, strategic thinking, and a passion for making a meaningful impact. This role goes far beyond calendar management and task coordination. We're looking for someone who can collaborate deeply with our CEO to take ideas, projects, and content from vision to reality.

You’ll work side by side with a high-performing, visionary entrepreneur, someone who thrives on momentum, energy, and big ideas. To succeed in this role, you’ll need a strong sense of calm, sharp thinking, great instincts, and the ability to extract and structure the CEO’s brilliance into clear, actionable plans, content, and outcomes.

You’ll play a key role in managing the CEO’s schedule, priorities, and energy while co-piloting projects, coordinating the team, and ensuring nothing slips through the cracks. Objectives

As the Executive Assistant to the CEO, you will provide:

Executive Support
Act as the CEO's trusted partner, helping them operate at peak performance. Proactively manage schedules, emails, meetings, and priorities with clarity and precision—ensuring focus stays on what matters most.

Content/Project Collaboration & Strategic Thinking
Workshop ideas and help structure content, presentations, projects, and programs. Draw out the CEO’s thinking with insightful questions and help bring concepts to life through well-structured plans, documentation, and assets.

Project Management Overview
Oversee project progress across departments. Connect the dots, ensure timelines stay on track, and communicate effectively with internal stakeholders.

Meeting Coordination
Coordinate meetings, prepare agendas, brief the CEO ahead of time, and follow up on actions. Capture key ideas and translate them into clear outcomes and next steps.

Travel and Event Management
Plan seamless domestic and international travel for the CEO. Support company events by coordinating logistics, schedules, and high-impact experiences.

Client Liaison and Service Coordination
Support coaching services and client engagement through scheduling, coordination, and proactive communication.

Document and Presentation Preparation
Draft, edit, and format high-quality reports, presentations, and materials for internal and external purposes. Ensure all deliverables meet company standards and align with business goals.

Research and Analysis
Conduct in-depth research on industries, competitors, or specific topics to support the CEO’s decision-making process. Compile and present data in a clear, actionable format.

File and Information Management
Develop and maintain organised systems for both digital and physical files, ensuring critical documents and information are easily accessible.

Special Projects
Manage and execute special projects as assigned by the CEO, ensuring high-quality outcomes are delivered within the required timelines.

Technology and Process Support
Leverage technical skills to document and manage projects, streamline workflows, and document processes that enhance efficiency. Experience with tools like Canva and AI programs are a plus.

Office Environment Management
Foster a welcoming, productive, high performance office environment for team members and clients, upholding the company’s culture and values.

CEO’s Time and Energy Management
Strategically protect the CEO’s time and mental bandwidth by filtering distractions, enabling flow states, and helping him stay focused on high-impact work.

Competencies

We are looking for someone with the following skills and qualities:

Strategic Thinker & Collaborator: You love extracting, structuring ideas, and co-creating strategy and content.

Highly Organised: Manages multiple tasks and deadlines with exceptional attention to detail with minimal supervision

Exceptional Communicator: Strong verbal and written communication skills. Ability to take direct feedback and implement changes

Tech Savvy & Resourceful: Highly skilled in Google Suite, presentations, email platforms, familiarity with CRM tools and basic design programs like Canva. AI experience is a plus.

Adaptable, Flexible & Growth Oriented: Thrives in a fast-paced environment, resourceful under pressure and is comfortable with occasional travel and after-hours tasks. You seek feedback, take initiative, and are always looking to grow.

Team Player: Understands that their role supports the CEO’s performance, which ultimately benefits the entire team.

Education and Experience

3–5 years of experience in executive or high-level administrative support is ideal, but mindset and capability matter most.

Experience in fast-paced, entrepreneurial environments or supporting founders is a bonus.

You must be confident in handling confidential information with professionalism and discretion.

Physical Requirements

Prolonged periods of sitting at a desk and working on a computer.

Flexibility for occasional domestic or international travel
