The Office of the Official Secretary to the Governor-General is seeking candidates experienced Facilities Management who are passionate about supporting the maintenance property holdings and infrastructure at Admiralty House, Kirribilli.
This position is for an initial 6 months with the possibility of extension/permanency.
Admiralty House is located in the suburb of Kirribilli, Sydney NSW, the property covers 1.5 hectares, or 3.7 acres, and is listed on the Commonwealth Heritage list. It comprises of both heritage buildings and landscape elements including heritage gardens, significant lawns, tree plantings, and pathways.
Admiralty House, Kirribilli is a secure site with free parking. As a member of the Admiralty House Team, you will receive a competitive salary plus 15.4% superannuation on top of your base salary. You will be able to access flexible working arrangements and paid shut down between Christmas and New Years (pending allocation of on call requirements).
KEY AREAS OF RESPONSIBILITY/DUTIES
The position will manage maintenance contracts, undertake minor maintenance tasks, as well as being responsible for tasking the Maintenance staff and generally coordinate the oversight and implementation of works necessary for the upkeep of the Admiralty House property to agreed standards.
• Work effectively with minimal direction to ensure that maintenance requirements at Admiralty House are contracted, tasked and carried out in accordance with the established strategies and plans for the property and work health and safety requirements are maintained.
• Oversee the administrative operations including managing the computerised maintenance system, maintaining registers and plans, purchasing, budget management, contractor management, maintaining statistics for reporting purposes, staff performance and managing the Help desk for all property matters.
• Provide support for construction works at Admiralty House, including assisting the project managers (e.g. by escorting contractors etc.) to meet the Property’s Works Program requirements.
• Responsible for establishing contracts and ensuring value for money, administrator for all Property Contracts, liaise with external contractors to schedule all planned maintenance and direct escorting, conduct all WHS site inductions.
• Operate and ensure all machinery and equipment is maintained in good working order and serviced regularly and assist with equipment replacement.
SKILLS, EXPERIENCE and QUALIFICATIONS
• Completion of a Trade Certificate or equivalent, and/or relevant experience is required.
• A current and continuing driver’s license is required. Occupants will be expected to be fit for manual duties, including heavy lifting.
• Proven experience in facilities management in particular a demonstrated understanding of maintenance principles and practical skills and ability to operate a computerised maintenance management system.
• Previous experience in the establishment and management of budgets, purchasing and contract/contractor management, and the administrative tasks required of such a position.
• A good working knowledge and practical understanding of the implications of the principals and practices of Work Health and Safety and the ability to develop, implement and apply these in the workplace.
• Effective communication, interpersonal and liaison skills; ability to deal with people at all levels, including at the most senior level. Ability to clearly task and monitor.
• Suitable personal attributes including demonstrated ability to work with minimal supervision and co-operatively as part of a team, sound judgement, tact, diplomacy,
