This is an amazing opportunity to manage a massive state run event that last 7 days and has over 1500 sessions during the 7 days. we are looking for a person who can manage this from 2nd of June till 31st of October
Primary purpose of the role:
Manage and coordinate the development, implementation and evaluation of a range of internal and external event projects to facilitate the delivery of key messages and initiatives for the department and in relation to its divisions.
The role works in collaboration with colleagues across communications, marketing and media teams within the branch as well as business units across the department.
Key accountabilities:
• Manage a program of in-person, online and hybrid events for a range of clients across the department ensuring alignment with key messaging and target audiences; and utilising the most contemporary technology available.
• Undertake a range of event management tasks including sourcing and managing venues and suppliers to ensure all are fit for purpose; and drive technical production elements and content creation, where required.
• Create and manage project plans and documentation for a range of events, including developing and tracking budgets, timelines, deliverables, logistics and evaluations; and provide briefings, reports and records management, in line with departmental standards and compliance requirements.
• Prepare complex technical run sheets to ensure event execution is managed effectively and risks are minimised.
• Advise on the design of events and monitor and evaluate their staging and conduct to produce lessons learned and improvement strategies and plans; and make recommendations for enhanced technology and tools having regard for budget constraints;
• Build and maintain relationships with key stakeholders, facilitating their engagement in, and contribution to, identifying and developing proposals and recommendations to achieve event objectives.
• Prepare correspondence, written reports and briefs that are informative and aligned with department requirements, to respond to agency and NSW Government requests.
• Assist with the preparation of budgets and tracking event expenditure, ensuring events expenses are processed and managed within identified budgets.
Key challenges
• Delivering projects to the required standards and timeframes, given the need to rapidly understand and integrate information and adapt in an often changing and unpredictable environment.
• Managing consultations and negotiations with diverse stakeholders, within agreed timelines, given their varying expectations, viewpoints and interests.
• Achieving deadlines and milestones to the required standards and within budget, given the need to simultaneously coordinate and deliver multiple projects which are often complex and interconnected
with tight and immovable deadlines, and limited resources.
