The opportunity
This newly created position offers an exciting opportunity to contribute to the technical and data infrastructure that underpins the delivery, monitoring, and evaluation of learning initiatives across our portfolio. The Learning Systems and Data Officer will play a central role in managing and optimising the Learning Management System (LMS), supporting data-informed decision-making, and contributing to the success of our training programs through reliable systems and accurate, timely reporting.
You will bring a systems-focused mindset, strong attention to detail, and a collaborative approach to ensure the smooth operation of online learning offerings. The role involves monitoring enrolment trends, streamlining reporting processes, and maintaining high-quality training data across multiple platforms. It’s well-suited to someone who enjoys working at the intersection of technology, data, and education, and who values continuous improvement.

The role is located at the University of Melbourne, in the Department Psychiatry.
Key Responsibilities
Manage and optimise the Learning Management System (Moodle) to ensure reliable performance, accurate data capture, and a positive learner experience
Monitor enrolment, participation, and completion trends, and prepare standardised monthly reports for external stakeholders, and to support planning, evaluation, and financial reporting
Provide day to day support to LMS users, including account creation, access and resolving technical issues
Coordinate the administration and reporting of evaluation tools, including the use of Qualtrics for surveys and outcome measurement
Maintain and update training-related databases, spreadsheets, and external platform listings to ensure data integrity and accuracy
Collaborate with team members to improve and document processes for data collection, analysis, and reporting
Provide technical support for learning and reporting technologies, including troubleshooting and liaison with vendors or IT as required
Manage and optimise the eCommerce storefront, ensuring accurate course listings, seamless purchasing and enrolment processes, and a positive user experience for customers

Occasional engagement with external stakeholders to align systems, deliver learning solutions, and data
Participation in regular team meetings and planning sessions
Commitment to continuous improvement and professional development in relation to learning technologies and data management
Adherence to privacy, data security, and ethical standards in handling learner and organisational data
Qualifications, experience and requirements
Selection Criteria
Essential
Demonstrated experience in the administration and technical management of a Learning Management System (e.g. Moodle, Canvas, Blackboard, or similar)
Qualifications in a relevant field such as Training and IT
Excellent customer service skills
Proficiency in compiling, analysing, and presenting data from various sources, including spreadsheets, databases and reporting dashboards
Strong digital literacy skills
Ability to manage competing priorities and meet deadlines with accuracy and attention to detail
Excellent written and verbal communication skills, particularly in the preparation of reporting summaries and documentation
Willingness to work collaboratively and engage in cross-functional communication with internal stakeholders
Awareness of data privacy and ethical principles in handling learner and organisational data
Note: You will be provided with a comprehensive briefing on internal systems and processes for data handling and reporting used by Phoenix Australia.
Desirable
Familiarity with Qualtrics or other survey/evaluation platforms
Experience working with project or financial data in an educational or training context
Prior experience coordinating or updating content on external partner platforms or training directories
Interest in process improvement and systems optimisation
Special requirements
Proof of full COVID-19 vaccination in accordance with University of Melbourne policy.
Work Type: Part time (0.6 FTE) Fixed term, one-year contract (renewable)
Superannuation rate: Employer contribution of 11.5%
Salary Sacrifice: As a health promotion charity up to $15,900 per FBT year

Our Clinical Services portfolio oversees the delivery of clinical activities across Phoenix. It offers specialist psychological and psychiatric trauma assessment and treatment services to a range of high-risk populations, as well as community members suffering from trauma related mental health disorders and provides expert advice and support to mental health practitioners working with high- risk clients.
Phoenix Australia is an independent not-for-profit organisation and a registered charity. With an affiliation with the University of Melbourne, we have a close working relationship with the Department of Psychiatry within the Melbourne Medical School. Our Board of Directors includes independent members as well as senior representatives from the Departments of Veterans’ Affairs and Defence.
