Role Overview:
The Sales Administrator is a vital support role within the sales team, responsible for coordinating the administration of sales projects from initial contract to production handover. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks while ensuring excellent customer communication.
Key Responsibilities:
Sales Administration & Project Coordination
Ensure accurate completion of sales processes using the Sales Admin Checklist.
Convert sales opportunities into active jobs in the CRM system.
Raise invoices according to payment schedules and project milestones.
Send introductory emails to customers after contract execution.
Follow up on payments and collaborate with accounts and customers.
Reconcile invoices to ensure financial accuracy.
Order, manage, and distribute project drawings, ensuring timely approvals and revisions.
Coordinate sales handover to production and procurement teams.
Complete the sales closure process with the sales consultant.
CRM and Data Management
Maintain accurate customer records and project details within the CRM system.
Provide regular project status updates to the sales team.
Sales Reporting & Analysis
Assist with sales reporting and conduct basic analysis to track performance and identify trends.
Skills & Attributes:
Prior experience in sales administration or a similar support role (construction, building services, manufacturing or real estate preferred).
Strong understanding of CRM and job management systems.
Excellent organisational and time-management skills with a keen eye for detail.
Strong written and verbal communication skills, with a professional and customer-centric approach.
Proficient in Microsoft Office Suite (Excel, Word, Outlook).
Ability to work independently while contributing to a team environment.
Ability to interpret data, track performance, and provide actionable insights.
