About Us:

Levantine Hill is an award-wining family owned winery and luxury brand.

We are looking for a proactive, enthusiastic personal assistant who will report to the Managing Director and Marketing Director. You will primarily be based in the Melbourne CBD office, and will possess excellent written communication skills, and strong administration software skills.

Part of this role will entail assisting the Marketing Director with coordinating and executing marketing activities such as managing Social Media, planning and coordinating events, website updates, and other coordination and administrative tasks.

With the winery being in the beautiful Yarra Valley, there may be occasions where you will be required to work from this location or other event sites. Levantine Hill Estate has a cellar door, restaurant, Winery and events spaces, and soon a hotel.

CORE DUTIES AND RESPONSIBILITIES

Administration Assistance

Provide administrative support as requested by the Directors.

Organising the Directors’ business and personal schedules including meetings, appointments, and travel arrangements.

Prepare and distribute reports, action items, agendas, minutes, presentations and other documents as needed.

Coordinate and assist with personal tasks, run errands as required.

Manage invoices, expense claims and reconciliations

Ad hoc administration tasks relating to sales and marketing communications.

Upkeep of filing, records, databases, policies and procedures.

General administrative tasks.

Marketing

Day-to-day implementation of marketing initiatives under the direction of the Marketing Director.

Key role supporting and being the main point of contact for our internal & external stakeholders.

Assist with social media management.

Assistance with printing marketing collateral.

Planning, coordinating and attending special wine events.

Place wine orders for influencers, charities and other external stakeholders.

Liaise with internal and external suppliers, clients and stakeholders

About You:

Qualifications and experience

Proven experience working effectively as a personal assistant, minimum 1 year. Marketing experience is not required but is favourable.

Experience in executing luxury brand and marketing strategies with direct-to-consumer sales (wine experience not required).

Excellent Microsoft Office software skills (Microsoft Word, Excel, PowerPoint).

Experience in event management.

Excellent written and verbal communication skills.

Ability to write communications well and competently.

Skills and personal attributes

Commitment to high standards and excellent attention to detail.

Strong work ethic and good multi-tasker.

Excellent organisational and time-management skills.
