Kelair Pumps Australia (a member of the AxFlow Group) is a well-established business with 8 locations throughout Australia. A market leader in the pump and water industry, we are a major player in the sales and service of the widest range of pumping equipment in Australia.
The products we supply are supported by our Service Division where a team of highly skilled service technicians can provide services for troubleshooting, repair and commissioning both in-house and on site. We are currently looking for the services of an Administration person to work in our close-knit Service Division team.
Job Summary:
The Service Administrator is responsible for coordinating and managing service operations to ensure efficient and effective delivery of services. This role involves handling administrative tasks, scheduling service appointments, and maintaining accurate records to support the service team. You will report to the Branch Manager.
Key Responsibilities:
Scheduling: Coordinate and schedule service appointments, ensuring timely and efficient service delivery.
Customer Service: Provide excellent customer service by addressing customer inquiries, resolving issues, and maintaining positive relationships.
Documentation: Maintain accurate and up-to-date records of service activities, including work orders, service reports, and customer interactions. Generate invoices.
Inventory Management: Monitor and manage inventory levels of service parts and supplies, ensuring availability for service technicians.
Communication: Facilitate communication between customers, service technicians, and other departments to ensure smooth operations.
Reporting: Generate and analyze service performance reports to identify trends and areas for improvement.
Compliance: Ensure all service activities comply with company policies and regulatory requirements.
Qualifications:
Education: High school diploma or equivalent; associate degree or certification in business administration or a related field preferred.
Experience: Minimum of 3-5 years of experience in a similar administrative role.
Forklift license, or be willing to obtain
Skills:
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Proficiency in using office software and service management systems.
Attention to detail and accuracy.
Ability to work independently and as part of a team.
Physical Requirements:
Physically fit and healthy
Comfortable working in an office environment.
Ability to lift and carry light supplies.
Working Conditions:
Standard office hours with occasional overtime as needed.
May require occasional travel to customer sites.
