Role Overview
This role combines front-of-house reception duties with personal assistant responsibilities to the Principal. The ideal candidate will be highly organized, professional, and capable of managing a variety of administrative and customer service tasks to ensure the smooth operation of the office.
Key Responsibilities
- Manage office and Principal emails, including confidential communication.
- Organize and maintain the Principal’s diary and appointments.
- Handle mail, scanning, filing, and general office organization.
- Prepare reports, market reviews, and property reports as needed.
- Coordinate team meetings and vendor meetings.
- Prepare pre-listing kits, appraisals, and appointment files.
- Oversee advertising, including newspaper ads, social media posts, and vendor communications.
- Create sales flyers, brochures, and signboards.
- Set up property listings and coordinate photo shoots and videos.
- Upload listings to web portals.
- Manage advertising invoicing.
- Ensure required documents (e.g. pool certificates) are obtained.
- Arrange open home times and appointments as needed.
- Maintain CRM system.
- Manage contracts, file management, and distribution.
- Organize client property keys.
- Coordinate buyer/seller gifts.
- Assist with auction campaigns, including preparation and document management.
- Arrange signboard removals.
- Manage agent reviews on online portals.
- Perform data entry and general office administrative tasks as requested.
- Handle document preparation for electronic or physical signing.
- Maintain office cleanliness (vacuuming, mopping, bins)
- Answer incoming calls, assist visitors, and maintain front-desk organization.
- Complete any other administrative tasks requested by management.

Skills & Qualifications
- A current Real Estate Sales Certificate (mandatory).
- Strong communication and CRM software proficiency.
- Background in real estate, sales, or administration is preferred.
- Driver's License (mandatory).
Compensation & Benefits
- Base Salary: $50,000 - $60,000 per year plus Super, in accordance with the REA award.
- New Management Leasing referral bonuses.
- Finance referrals: 60% of the net income received for each referral.
- Professional Development: Annual external group training opportunities (up to $1,500 annually).
- Industry Training: Access to RE/MAX Australia training programs, including all courses available. Courses can be attended remotely via online Teams or in the Corporate HQ training room.
